Job Overview: The Administrative Assistant for the MHPSS Project plays a crucial role in supporting the implementation of mental health and psychosocial support services for international protection seekers residing in the Citywest accommodation facility. The position requires efficient administrative assistance and support for daily administrative, HR, and finance tasks related to the project. The incumbent will work under the supervision of the chief of mission in Ireland and the assigned Project Coordinator, ensuring that all administrative actions comply with IOM rules and regulations. The role involves maintaining accurate records, processing staff expense claims, assisting in purchasing necessary items for project implementation, and providing general clerical support to the Project Coordinator. The successful candidate will contribute to improving the psychosocial well-being of vulnerable populations and strengthening their resilience.
Duties and Responsibilities:
Assist the assigned Project Coordinator in implementing and monitoring administrative, financial, and HR activities related to the MHPSS project.
Implement delegated administrative actions in accordance with IOM rules, regulations, and instructions.
Maintain appropriate filing systems for all administrative and HR documents.
Process staff expense claims and travel claims for the MHPSS Project’s staff in a timely manner, adhering to IOM rules.
Assist in purchasing items necessary for the project’s implementation, following IOM guidelines.
Follow up on internal administrative and financial processes with relevant units.
Provide general clerical support to the assigned Project Coordinator.
Perform other duties as assigned by the supervisor, contributing to the overall success of the project.
Required Qualifications:
A Bachelor’s degree in Accounting/Finance, Business Administration, or a related field from an accredited academic institution, with a minimum of two years of relevant professional experience; or a High School diploma with at least two years of relevant experience.
Proven experience in a similar setting and capacity, demonstrating strong organizational skills.
Excellent knowledge of information technology, particularly proficiency in Microsoft Office applications (Excel, Word, PowerPoint).
Experience with EU and/or international funding instruments, financial management, reporting, accounting, budgeting, and internal controls.
Ability to maintain accuracy and confidentiality in performing responsibilities.
Strong interpersonal and intercultural skills, with a keen attention to detail.
Previous work experience in international organizations or service industry companies is an advantage.
Educational Background: Candidates must possess a Bachelor’s degree in Accounting/Finance, Business Administration, or a related field from an accredited institution. Accredited universities are those listed in the UNESCO World Higher Education Database. Alternatively, a High School diploma with relevant experience is acceptable, provided the candidate has at least two years of relevant professional experience.
Experience: The position requires proven experience in a similar administrative role, ideally within an international organization or service industry. Candidates should have a minimum of two years of relevant professional experience, demonstrating a solid understanding of administrative processes, financial management, and HR functions. Experience with EU and/or international funding instruments is highly desirable, as is familiarity with accounting, budgeting, and internal controls.
Languages: Fluency in English is mandatory for this position, both oral and written. Knowledge of any UN languages (such as French or Spanish) is considered an advantage, enhancing the candidate's ability to communicate effectively in a multicultural environment.
Additional Notes: This position is subject to local recruitment, and only candidates holding a valid residence and work permit for Ireland will be considered. The appointment will be contingent upon certification of medical fitness, verification of residency, visa, and necessary authorizations by the relevant government authorities. The selection process may be used to fill similar positions in various duty stations, and recommended candidates will remain eligible for appointment in a similar position for a period of 24 months.
