Job Overview:
The Business Support Assistant (Crisis Response) position at WFP is integral to the organization's efforts in providing timely and effective support for emergency and crisis-response activities. This role involves working closely with the Programme Policy Officer and the Head of Unit to ensure that administrative and operational tasks are executed efficiently. The assistant will play a crucial role in gathering information, drafting documents, and preparing reports, which are essential for the smooth functioning of WFP's operations. The position also requires the ability to manage routine administrative and financial tasks, ensuring that resources are managed effectively. The assistant will be responsible for maintaining accurate documentation and data integrity, which is vital for the success of WFP's programs. Duties and Responsibilities:
The Business Support Assistant will have a diverse range of responsibilities, including but not limited to:
  • Gathering information and providing clear direction to support the drafting of documents and reports by other staff members.
  • Responding to queries from clients and escalating issues when necessary to ensure timely and accurate service delivery.
  • Supporting the processing and management of routine administrative and financial tasks across various functional areas.
  • Providing revision and proofreading services for standard documents to ensure accuracy and quality.
  • Maintaining standard systems and files to ensure that information is readily available and accurate.
  • Identifying discrepancies in statistics and data, reporting them to senior staff to support effective decision-making.
  • Ensuring data integrity to facilitate the availability of accurate information in corporate systems.
  • Offering guidance on routine business support methods to junior colleagues to maintain service consistency.
  • Collaborating with various individuals and incorporating feedback to enhance business support delivery. 1
  • Performing additional duties as required, particularly in relation to crisis response activities, such as assisting in registration, verification, and distribution activities, and handling beneficiary feedback with discretion.

Required Qualifications:
Candidates for the Business Support Assistant position should possess a Bachelor’s degree or an equivalent qualification in Business Administration, social sciences, or a related field. Additionally, applicants should have at least four years of progressively responsible experience in administrative or program support roles, preferably within the humanitarian or development sectors. Proficiency in Microsoft Office applications (Word, Excel, Outlook, PowerPoint) and familiarity with ERP systems (such as WINGS/SAP) are essential. Strong organizational, communication, and interpersonal skills are required, along with the ability to work effectively under pressure and in multicultural teams. Experience working with vulnerable populations is considered an asset, and knowledge of UN/NGO administrative procedures is advantageous.

Educational Background:
The educational requirement for this position is a Bachelor’s degree or an equivalent degree in a relevant field such as Business Administration or social sciences. This educational background is essential to ensure that the candidate has the necessary theoretical knowledge and understanding of the principles that underpin effective business support and program management in a humanitarian context.

Experience:
The position requires a minimum of four years of progressively responsible experience in administrative or program support roles. This experience should ideally be within the humanitarian or development sectors, where the candidate has gained practical knowledge and skills relevant to the duties of the Business Support Assistant. Candidates should demonstrate a track record of effectively managing administrative tasks and supporting program implementation in challenging environments.

Languages:
Fluency in both written and spoken Arabic is mandatory, along with a good command of English in both verbal and written communication. Proficiency in these languages is crucial for effective communication with beneficiaries, stakeholders, and team members, ensuring that all interactions are clear and professional.
