Job Overview: The Senior Executive Assistant position at UNICEF Mozambique is crucial for providing executive, administrative, and coordination support to the Representative. This role is essential for the efficient management of the Country Office and effective liaison with both internal and external stakeholders. The Executive Associate will serve as the principal support to the UNICEF Representative, ensuring the smooth functioning of the front office. Responsibilities include managing the Representative's agenda, facilitating communication and information flow, coordinating internal processes, and providing strategic administrative and logistical support for high-level engagements, meetings, and missions. The role bridges operational delivery by liaising regularly with multiple units such as Programme, Operations, Finance, and Supply, as well as with external partners including government ministries, NGOs, and donors.
Duties and Responsibilities:
Provide executive support and coordination to the UNICEF Representative, ensuring efficient management of the front office.
Manage the Representative's agenda, including scheduling meetings and appointments.
Facilitate communication and information flow between the Representative and various stakeholders.
Coordinate internal processes and ensure timely follow-up on action items.
Provide strategic administrative and logistical support for high-level engagements, meetings, and missions.
Oversee office management and ensure effective information flow within the office.
Coordinate missions and events, ensuring all logistical arrangements are in place.
Represent the office in meetings and communications as required.

Required Qualifications: Minimum requirements include completion of secondary education, preferably supplemented by technical or university courses related to the work of the organization. A minimum of five years of administrative/executive support work experience is required, with relevant experience in a UN system agency or similarly structured organization considered an asset. Strong organizational and multitasking skills, excellent writing, editing, and communication abilities, high level of discretion, integrity, and confidentiality, strong interpersonal skills, and proficiency in Microsoft Office Suite, Teams, SharePoint, and other digital collaboration tools are essential. The ability to work under pressure and handle sensitive information with maturity and diplomacy is also required.
Educational Background: The educational background required for this position includes completion of secondary education, with a preference for candidates who have pursued technical or university courses related to the work of UNICEF. This educational foundation is essential for understanding the complexities of the role and the organization’s mission.
Experience: Candidates must have a minimum of five years of administrative or executive support work experience. Relevant experience in a UN system agency or similarly structured organization is considered an asset, indicating that familiarity with the UN's operational and administrative frameworks is beneficial for this role.
