The OSCE Secretariat in Vienna supports the Chairpersonship and provides operational and administrative support to field operations. The Office of the Secretary General plays a key role in coordinating tasks across the Secretariat and ensuring effective policy advice and management decisions. Job Overview:
The Project Assistant will play a crucial role in the administrative support of the Extra-Budgetary (ExB) project titled 'WIN - Women and Men Innovating and Networking for Gender Equality' phase II. This project aims to advance gender equality as a prerequisite for stable and peaceful societies in the OSCE area. The Project Assistant will assist in organizing events, meetings, and webinars, manage travel arrangements, maintain project files, support communication with donors, and perform other duties as required. The position requires a proactive approach to ensure the successful implementation of the project, working closely with the Project Manager and other team members.

Duties and Responsibilities:
The Project Assistant will be responsible for a variety of tasks, including:
  • Assisting in the organization of events, meetings, and webinars, which involves managing invitations, logistics, and reservations.
  • Making travel arrangements, preparing travel authorizations, ensuring that all necessary visas and travel documents are in order, and maintaining an overview of travel and financial expenses.
  • Supporting the maintenance of project files, including archiving documents needed for compiling progress reports for donors.
  • Assisting with the maintenance of the WIN online platform and Community of Practice.
  • Supporting communication with donors and stakeholders by managing invitations, reports, and other correspondence.
  • Performing additional duties as required to support the project and team objectives.

Required Qualifications:
Candidates must have completed secondary education and possess a minimum of three years of progressively responsible experience in programme administration, preferably in an international environment. A university degree in a relevant field may substitute for up to two years of experience. Experience in travel administration is desirable. Candidates should demonstrate professional fluency in English, with excellent communication skills, and knowledge of other OSCE official languages is considered an asset. Additionally, candidates must show gender awareness and sensitivity, and the ability to work with diverse teams while maintaining impartiality and objectivity. Computer literacy, particularly with Microsoft applications, is also required.

Educational Background:
The minimum educational requirement for this position is a completed secondary education. A university degree in a relevant field is preferred and may be considered as a substitute for up to two years of the required work experience, which is essential for determining eligibility for the role.

Experience:
Candidates should have at least three years of progressively responsible experience in programme administration. This experience should ideally be in an international context, providing a solid foundation for understanding the complexities of working within a multinational organization like the OSCE. Experience in travel administration is also desirable, as it will be a significant part of the role.

Languages:
Professional fluency in English is mandatory, with excellent oral and written communication skills. Knowledge of other OSCE official languages is considered an asset, enhancing the candidate's ability to communicate effectively within the diverse environment of the OSCE.

Additional Notes:
The position is a fixed-term contract with a duration from April 1, 2026, to September 30, 2026, with the possibility of extension subject to funding availability. The monthly remuneration is approximately EUR 3,490, subject to social security deductions, and OSCE salaries are exempt from taxation in Austria. Social benefits include participation in the Cigna medical insurance scheme and the OSCE Provident Fund. Appointments are typically made at Step 1 of the OSCE salary scale, with potential for higher initial appointments based on relevant experience. The OSCE does not reimburse expenses related to interviews, tests, visas, or relocation, and appointments are subject to medical clearance. The mandatory retirement age for contracted positions is 65 years.
