Job Overview:
The Training Assistant (Safeguards) plays a crucial role in supporting the Department of Safeguards at the IAEA by providing logistical and administrative support for training courses. This position involves working closely with Training Officers to coordinate training activities that enhance the capabilities of inspectors and analysts in the field of nuclear safeguards. The Training Assistant will be responsible for managing various aspects of training logistics, including communication with external stakeholders, arranging travel and accommodations, and ensuring that all necessary materials are prepared and available for training sessions. The role requires a proactive approach to problem-solving and the ability to work effectively in a team environment, as well as the capacity to handle multiple tasks simultaneously while maintaining attention to detail.

Duties and Responsibilities:
The Training Assistant will serve as the primary point of contact for external stakeholders involved in training courses, including host countries, Member States Support Programme representatives, and participants. Key responsibilities include organizing logistics for training courses, meetings, and workshops, both in Vienna and internationally. This includes drafting correspondence, managing travel arrangements, preparing financial reports, and ensuring the availability of training materials. The Training Assistant will also be responsible for maintaining databases related to training activities, tracking course participation, and coordinating with various divisions to ensure the smooth execution of training events. Additionally, the role involves updating and managing information systems to support training operations and facilitate effective communication among all parties involved.

Required Qualifications:
Candidates must possess a completed secondary education and have at least five years of clerical or administrative experience in an international environment. Extensive experience in planning and organizing meetings or training activities is essential. The ideal candidate should demonstrate strong administrative skills, particularly in financial arrangements and travel management, and have a good understanding of the policies and procedures related to training in an international context. Proficiency in MS Office applications is required, and familiarity with e-learning systems is advantageous. Knowledge of German is desirable, while an excellent command of English is mandatory. Knowledge of other official IAEA languages is considered an asset.

Educational Background:
A completed secondary education is required for this position. Additional qualifications or certifications related to administrative support, training facilitation, or project management may be beneficial but are not mandatory. Candidates with relevant training or coursework in international relations, education, or a related field may also be preferred.

Experience:
The position requires at least five years of relevant clerical or administrative experience, particularly in an international setting. Candidates should have a proven track record of successfully organizing and managing various types of meetings or training activities, demonstrating their ability to work effectively under pressure and adapt to changing circumstances. Experience in a role that involves direct interaction with international stakeholders or clients is highly valued.

Languages:
Fluency in English is mandatory, with excellent oral and written communication skills. Knowledge of German is desirable, and proficiency in other official IAEA languages such as Arabic, Chinese, French, Russian, or Spanish is considered an asset. The ability to communicate effectively with diverse audiences is crucial for this role.
