Job Overview:
The Project Assistant- Documentation and Reporting will play a crucial role within UNDP Bangladesh’s Democratic Governance and Institutional Programming (DGIP) portfolio. This position is integral to the implementation of several key projects aimed at improving the livelihoods of urban poor communities in Bangladesh. The incumbent will be responsible for supporting documentation and reporting activities related to the Livelihoods Improvement of Urban Poor Communities Project (LIUPCP) and other related initiatives. The role requires a proactive approach to collecting, organizing, and disseminating project-related information, ensuring that all documentation meets UNDP's quality standards. The Project Assistant will also assist in the development of knowledge products and support the organization of events aimed at sharing best practices and lessons learned. This position demands a strong commitment to enhancing project visibility and communication, thereby fostering public support for the initiatives undertaken by UNDP.

Duties and Responsibilities:
I. Documentation Support: The Project Assistant will collect and maintain a centralized dataset of project documents, case studies, training materials, and knowledge products. They will support the development of knowledge products for dissemination and assist in organizing knowledge-sharing events, workshops, and learning sessions. The role includes providing documentation and reporting support for key events, such as inception workshops, inauguration events, meetings, and workshops. The incumbent will ensure systematic documentation of best practices and lessons learned, maintain organized documentation of field activities, case studies, media coverage, and events, and provide quality assurance on formatting, consistency, and branding of all project documentation. II. Reporting Support: The Project Assistant will draft, edit, and finalize various project reports, including monitoring reports, donor reports, thematic briefs, and presentations, ensuring alignment with UNDP quality standards and donor requirements. They will maintain reporting schedules and support the timely submission of periodic and ad hoc reports. The role also involves providing high-quality analysis of data collected during ad hoc studies/research, coordinating with technical leads and field teams to gather relevant data and narratives for reporting, and assisting in the development of Monitoring & Evaluation Strategy and relevant guidelines for tracking project achievements.

Required Qualifications:
The position requires secondary education as a minimum, with a Bachelor’s degree or equivalent in Urban and Regional Planning, Geography & Environment, Statistics, Economics, or a related discipline being highly regarded. Candidates should possess a minimum of 5 years of experience with secondary education or 2 years of experience with a Bachelor’s degree in reporting, documentation, and knowledge management within development interventions. Proven experience in reporting and documentation in urban programs is essential, along with the ability to prepare high-quality reports and presentations. Desired skills include experience in conducting short surveys and rapid assessments using tools like Kobo Toolbox and Google Survey, familiarity with GIS software, and experience working in international development organizations, particularly in urban sectors.

Educational Background:
Candidates must have at least secondary education, with a Bachelor’s degree in a relevant field such as Urban and Regional Planning, Geography & Environment, Statistics, or Economics being preferred. This educational background is crucial for understanding the complexities of urban development and the socio-economic factors affecting urban poor communities.

Experience:
The role requires a minimum of 5 years of relevant experience with secondary education or 2 years of experience with a Bachelor’s degree. Candidates should have substantial experience in reporting, documentation, and knowledge management, particularly in the context of development interventions. Experience in urban programs and familiarity with local communities, civil society partners, and government officials is highly desirable.

Languages:
Fluency in written and spoken English and Bangla is mandatory for this position. Proficiency in these languages is essential for effective communication and documentation within the context of the projects and with various stakeholders.
