Job Overview:
The Senior Grants Officer plays a crucial role in ensuring timely donor reporting and effective coordination among field staff. This position is vital for supporting proposal writing and ensuring compliance with donor regulations. The officer will work closely with various departments, including finance, HR, logistics, and operations, to develop quality project proposals and reports. The role requires a proactive approach to managing donor relationships and ensuring that all reporting phases are executed smoothly. The Senior Grants Officer will also be responsible for capacity building within the organization, providing training to field staff on program development and reporting, and maintaining an in-depth understanding of HI's program activities and operational context in Ukraine.

Duties and Responsibilities:
  • Contribute to the quality of project design narratives and reporting by supporting the development of proposals and concept notes in compliance with donor regulations.
  • Coordinate project reporting phases and modification requests, ensuring collaboration with various departments.
  • Ensure consistency and completeness of narrative and financial reports, and proofread reports for quality control.
  • Support the team on contractual issues and manage communication with headquarters and partners regarding donor rules.
  • Organize Grant Opening and Grant Closing Meetings to ensure coherence in understanding grant design across departments.
  • Provide training and capacity building for field staff and HI partners on program development and reporting.
  • Assist in institutional communication and donor relations by developing internal and external communication materials.
  • Support the Technical Head of Programme in analyzing changes in donor strategies and organizing field visits.

Required Qualifications:
Candidates must possess strong strategic analysis competencies, confidence in networking and representing the organization, and knowledge of donor relationships and contract analysis. Mastery of financial management of institutional funding is essential, along with excellent narrative report writing and grant management skills. Proficiency in both spoken and written English is mandatory, and candidates should demonstrate empathy and patience in their interactions.

Educational Background:
A relevant degree in international relations, development studies, or a related field is preferred. Additional certifications in project management or grant writing may be advantageous.

Experience:
Candidates should have a minimum of 3-5 years of experience in grant management, donor relations, or a similar role within the humanitarian or development sector. Experience working in conflict-affected areas or with vulnerable populations is highly desirable.

Languages:
Fluency in English is mandatory. Knowledge of additional languages, particularly Ukrainian or Russian, is considered an asset and may enhance a candidate's suitability for the position.

Additional Notes:
This position is based in Kyiv, Ukraine, and is offered as a 6-month international contract starting as soon as possible. The contract includes social coverage adapted to the employee's situation, such as unemployment insurance benefits for EU nationals, a pension scheme, and medical coverage with a 50% employee contribution. The salary starts at €2,346 gross per month, with additional benefits including a net monthly per diem of €587, a hardship allowance of €500 net per month, 25 paid leave days per year, and a rest and recuperation (R&R) allowance according to the mission level. The position is unaccompanied, and housing is collectively provided by HI.
