Job Overview: The position of Executive Assistant to the Special Advisor on Climate Change involves providing comprehensive support to the Special Advisor and the office team. The role is crucial in enhancing coordination and fostering synergies within the IDB Group and with external partners on Climate Change initiatives. The selected candidate will be responsible for managing the day-to-day agenda of the Special Advisor, organizing travel logistics, and providing general administrative support. This includes preparing briefing materials, managing office resources, and supporting the monthly reporting and monitoring of the Office Budget. The role also entails coordinating logistical arrangements for meetings and workshops, ensuring effective communication and collaboration with internal and external stakeholders. The Executive Assistant will play a vital role in supporting the Special Advisor's external advocacy efforts and ensuring the smooth operation of the office.
Duties and Responsibilities: The duties and responsibilities of the Executive Assistant include:
Coordinating the day-to-day agenda of the Special Advisor on Climate Change, ensuring efficient time management and prioritization of tasks.
Organizing travel logistics and related arrangements for the Special Advisor and office staff, including managing registrations and meeting schedules during special events.
Providing general administrative support, including greeting visitors, booking meeting rooms, and scheduling office resources.
Supporting the monthly reporting and monitoring of the Office Budget, ensuring accurate documentation and compliance with IDB policies.
Following and providing information on IDB administrative policies, regulations, and procedures.
Preparing briefing materials on individuals and institutions ahead of meetings.
Creating PowerPoint presentations for various purposes.
Managing arrangements for the Special Advisor's external advocacy role, including collaboration with the internal Communications team.
Supporting the coordination of logistical arrangements for meetings and workshops, including agenda preparation and participant coordination. 1
Assisting the Resource Planner with hiring processes and managing office expenses, ensuring proper documentation of payments and receipts.
Required Qualifications: The position requires the following qualifications:
A minimum of 2 years of work experience supporting high-level executives is required, with preference given to candidates with previous experience at the IDB Group.
Proficiency in both Spanish and English, spoken and written, is mandatory.
Additional knowledge of French and Portuguese is considered a plus.
Candidates must be citizens of one of the 48-member countries of the IDB Group and have no family members working at the IDB, IDB Invest, or IDB Lab.
Educational Background: Candidates must possess a Bachelor’s Degree in a relevant field such as Business Administration, International Relations, or Human Resources. This educational background is essential to ensure that the candidate has the necessary knowledge and skills to perform the duties associated with the role effectively.
Experience: The position requires a minimum of 2 years of relevant work experience, particularly in roles that involve supporting high-level executives. Candidates with prior experience at the IDB Group will be given preference, as familiarity with the organization's operations and culture can significantly enhance the effectiveness of the Executive Assistant in this role.
Languages: Proficiency in Spanish and English is mandatory for this position, both in spoken and written forms. Additionally, knowledge of French and Portuguese is considered advantageous and may enhance the candidate's ability to communicate effectively in a diverse work environment.
Additional Notes: The position is offered as a full-time international consultant role with a contract duration of 12 months, which may be extended up to 36 months based on performance and organizational needs.
