Job Overview:
The Business Support Assistant (BIM) position at WFP in N'Djamena is designed to provide essential administrative support within the country office. The role involves assisting in various administrative functions, either under the supervision of the Program Assistant or directly supporting unit heads. The incumbent is expected to perform structured and precise work, contributing to the effective management of resources and services. This position requires a proactive approach to problem-solving and the ability to work independently with minimal supervision. The Business Support Assistant will play a crucial role in ensuring that administrative processes are efficient and that the office operates smoothly, thereby enabling WFP to fulfill its mission of providing humanitarian assistance.

Duties and Responsibilities:
  • Identify and document data anomalies, duplicates, and discrepancies between SCOPE lists and partner lists.
  • Draft concise reports and track corrective actions.
  • Utilize visualization tools such as Power BI or Tableau to create clear reports on anomalies, duplicates, and registration statuses.
  • Gather information following clear guidelines to assist other staff in document preparation and reporting.
  • Address inquiries and escalate issues to higher levels as necessary to ensure timely and reliable service.
  • Assist in processing and managing routine administrative and financial tasks across various functional areas to contribute to effective resource management.
  • Review and proofread standard documents to ensure accuracy.
  • Manage certain standard systems and files to ensure reliable information access for the relevant service.
  • Identify simple anomalies in statistics and data, such as missing information, and escalate these to higher levels to assist service beneficiaries. 1
  • Ensure data integrity by maintaining reliable information in internal systems. 1
  • Provide guidance on management support methods and practices to less experienced colleagues to ensure consistent service delivery. 1
  • Collaborate with diverse individuals, gathering feedback as necessary to provide management support to staff.

Required Qualifications:
Candidates must have completed secondary education, with a post-secondary diploma in a relevant field considered an advantage. A minimum of four years of progressively responsible professional experience in the relevant field, particularly in administrative roles, is required. Proficiency in using office equipment and software, such as Microsoft Word, is essential. Candidates should possess knowledge of standard procedures and methods applicable to the tasks at hand, demonstrating the ability to work with minimal supervision. Strong interpersonal skills, tact, and courtesy in communication with diverse individuals are necessary. The ability to identify data anomalies and address issues requiring attention is crucial, as is the capacity to provide basic on-the-job training to less experienced staff members.

Educational Background:
The minimum educational requirement for this position is the completion of secondary education.
