Job Overview:
The Logistics and Procurement Assistant will play a crucial role in supporting IOM's humanitarian activities by assisting in the implementation and monitoring of procurement and logistical needs. This position requires a proactive individual who can effectively manage procurement requests, verify documentation, and ensure compliance with established procedures. The incumbent will work closely with the Senior Logistics and Procurement Associate and will be responsible for maintaining accurate records of procurement activities, managing Purchase Requisitions and Orders, and ensuring timely delivery of goods and services. The role also involves assisting in the organization of workshops and training events, which requires strong organizational skills and attention to detail. The successful candidate will be expected to demonstrate professionalism, integrity, and a commitment to IOM's values while working in a collaborative environment.

Duties and Responsibilities:
  • Assist in the implementation and monitoring of procurement and logistical needs to support IOM’s humanitarian activities.
  • Carry out tasks related to procurement, including verifying Purchase Requisition Forms for completeness and compliance.
  • Collect quotations and proposals, prepare Purchase Requisitions in WAVE, and conduct bids analysis as required.
  • Accurately post all Purchase Requisitions and Purchase Orders into WAVE and maintain procurement records.
  • Follow up on Purchase Orders status and communicate with customers regarding delivery timelines.
  • Verify that all received goods and services meet the terms and specifications outlined in the respective Purchase Orders and Contracts.
  • Register newly procured assets in WAVE and ensure proper tagging with Asset Master Numbers.
  • Prepare and submit Payment Requests to the Finance Unit and follow up to ensure timely settlement of supplier accounts.
  • Assist in organizing programs, workshops, and training activities, including logistics for hotels, catering, and technical equipment. 1
  • Maintain an organized archiving system for procurement files and logistics documents. 1
  • Drive IOM vehicles for official business as required, adhering to UNDSS/SSU rules and regulations. 1
  • Undertake any other duties as assigned by the Senior Supply Chain Officer.

Required Qualifications:
  • A degree in business administration, logistics, supply chain management, or a related field with at least two years of relevant experience. Alternatively, a completed high school education with four years of relevant professional experience.
  • Strong understanding of procurement processes and logistics management.
  • Proficiency in using procurement and logistics software, particularly WAVE.
  • Excellent organizational skills and attention to detail.
  • Ability to work collaboratively in a team environment and communicate effectively with diverse stakeholders.
  • Strong problem-solving skills and the ability to manage multiple tasks simultaneously.

Educational Background:
Candidates must possess a degree in business administration, logistics, supply chain management, or a related field from an accredited institution. Accredited universities are those listed in the UNESCO World Higher Education Database. Alternatively, candidates with a completed high school education and significant relevant experience may also be considered.

Experience:
The position requires a minimum of two years of relevant experience in logistics and procurement for candidates with a degree. For those with a high school diploma, a minimum of four years of relevant professional experience is required. Experience in an international organization or a humanitarian context is highly desirable, as is familiarity with IOM's operational procedures and standards.

Languages:
Fluency in English and Turkish is required, both oral and written. Proficiency in additional languages such as French or Spanish is considered an asset and may enhance a candidate's application. Language proficiency will be evaluated during the selection process, which may include written and/or oral assessments.

Additional Notes:
This position is subject to local recruitment, and only candidates holding a valid residence and work permit for Turkey will be considered. The appointment is contingent upon funding confirmation and the candidate's medical fitness for appointment. The selection process may be used to fill similar positions in various duty stations, and recommended candidates will remain eligible for appointment in similar roles for a period of 24 months.
