Job Overview: The Information Management Assistant (CCCM) plays a crucial role in supporting the implementation of the information management portfolio for Camp Coordination and Camp Management (CCCM) programming in Ukraine. This position involves working closely with the Chief of Mission, Head of Programmes, and Programme Support Officer to ensure effective data management and reporting for CCCM projects. The assistant will be responsible for monitoring and tracking project activities, ensuring accurate data storage and submission, and conducting internal and external reporting. The role also includes administrative management of the CCCM site management system, preparation of various reports and documentation, and responding to information requests. The assistant will be expected to maintain communication with stakeholders and support the overall objectives of the CCCM program.
Duties and Responsibilities:
Assist in the monitoring, tracking, and reporting of all CCCM project activities to ensure compliance and effectiveness.
Support the Programme Support Officer in organizing and implementing integrated mechanisms for accurate data collection, storage, and submission.
Conduct monthly internal and external reporting of CCCM project activities to stakeholders.
Act as the focal point for administrative management and coordination of the CCCM site management system (Zite manager), including updating site statuses, creating new sites, and managing user access issues.
Prepare, create, and update reports, briefing notes, graphics, statistical tables, presentations, and other documentation as required.
Respond to information requests and organize meetings, including calendar management.
Maintain the CCCM project’s contact list and mailing lists to ensure effective communication.
Perform additional duties as assigned by supervisors to support the CCCM program.
Required Qualifications: Candidates must possess a high school degree/certificate with five years of relevant experience, or a Bachelor’s degree in Political or Social Sciences, International Relations, Development Studies, Migration Studies, Human Rights, Law, or related fields from an accredited institution with three years of relevant professional experience. The role requires strong organizational skills, attention to detail, and the ability to work collaboratively in a multicultural environment. Proficiency in Microsoft Office, particularly Excel, PowerPoint, and Word, is essential. Familiarity with GIS software, Adobe Suite, database management, and dashboard software like PowerBI is advantageous but not mandatory.
Educational Background: The educational background required for this position includes either a high school diploma with extensive relevant experience or a Bachelor’s degree in a related field such as Political or Social Sciences, International Relations, Development Studies, Migration Studies, Human Rights, or Law. The educational qualifications should be from an accredited academic institution, ensuring that candidates have a solid foundation in the principles relevant to the role.
Experience: Candidates should have experience in liaising with governmental authorities, national and international institutions, United Nations agencies, and non-governmental organizations. Experience working with vulnerable populations, including migrants, refugees, and internally displaced persons, is highly valued. Prior work experience with international humanitarian organizations or in a multi-cultural setting is considered an advantage, as it demonstrates the candidate's ability to navigate complex environments and collaborate effectively with diverse stakeholders.
Languages: Fluency in English and Ukrainian is required for all applicants, both oral and written. This language proficiency is essential for effective communication within the organization and with external partners. Additional language skills may be beneficial but are not mandatory.
Additional Notes: This position is subject to local recruitment, and only candidates holding a valid residence and work permit for Ukraine will be considered. The selection process may be used to fill similar positions in various duty stations, and recommended candidates will remain eligible for appointment in similar roles for a period of 24 months. The appointment is contingent upon certification of medical fitness, verification of residency, visa, and necessary government authorizations.
