Job Overview: The Conference coordinator-consultant" style="border-bottom: 1px dotted #007bff !important;">Coordinator Consultant will play a crucial role in supporting UN Women and Ha Noi Law University in organizing an international conference focused on gender mainstreaming in legislation and policy development. This position requires the consultant to coordinate various administrative tasks, ensuring that the conference runs smoothly and effectively. The consultant will work closely with a team leader who will provide technical guidance on the conference content, agenda, and speakers. The consultant's responsibilities will include liaising with stakeholders, managing logistics, and ensuring that all necessary materials are prepared and distributed in a timely manner. The role is essential for fostering dialogue and sharing best practices in gender-responsive legislation development, ultimately contributing to the advancement of gender equality in Vietnam.
Duties and Responsibilities: The consultant will be responsible for a range of tasks, including:
Inception and Planning: Participating in an inception meeting with UN Women and Ha Noi Law University to identify administrative and logistical tasks for the conference, acting as the main liaison between UN Women, Ha Noi Law University, and the contracted logistics supplier.
Background Review and Technical Inputs: Assisting in the preparation of background materials and providing technical inputs as needed.
Call for Papers: Preparing and sending invitations to participants and speakers, managing RSVPs, disseminating the call for papers, managing submissions, and maintaining communication with authors.
Speakers and Content Development: Coordinating with the logistics supplier for printing conference materials, ensuring timely distribution, and maintaining communication with participants and speakers.
Conference Delivery: Overseeing registration and welcoming participants, managing session flow, and taking detailed notes during sessions for the conference report.
Conference Proceedings: Formatting accepted papers for inclusion in the conference proceedings and coordinating with the printer/publisher for timely production.
Required Qualifications: The ideal candidate should possess strong organizational and communication skills, with a proven ability to manage multiple tasks effectively. Technical credibility in gender mainstreaming in legislative development is essential, along with excellent negotiation skills. The candidate should demonstrate strong analytical and interpersonal skills, as well as proficiency in drafting, editing, and presentation. A commitment to gender equality and an understanding of the legal and policy frameworks surrounding gender issues are also important.
Educational Background: A relevant educational background is required, preferably in law, gender studies, social sciences, or a related field. Advanced degrees or specialized training in gender equality and women's empowerment will be considered an asset.
Experience: Candidates should have a minimum of 3-5 years of experience in project coordination, preferably in the context of gender equality, women's empowerment, or legislative development. Experience working with international organizations, particularly within the UN system, is highly desirable. Familiarity with the Vietnamese legal and policy landscape regarding gender issues will be an advantage.
Languages: Fluency in English is mandatory, both written and spoken. Proficiency in Vietnamese is highly desirable, as it will facilitate communication with local stakeholders and participants. Knowledge of additional languages may be considered an asset.
Additional Notes: This is a home-based consultancy position, with the requirement to attend meetings and workshops related to the work. The consultant may need to travel for workshops outside Hanoi, and all travel will be arranged by UN Women in accordance with their policies. The position is expected to be full-time during the conference preparation period, and the consultant will work closely with UN Women Programme Management Specialist and Ha Noi Law University throughout the process.
