Job Overview:
The Project Assistant will play a crucial role in supporting the EpiC Vietnam Project Manager and technical teams in the coordination and implementation of various health initiatives, particularly those related to HIV and COVID-1
  • This position requires a proactive and detail-oriented individual who can manage multiple tasks effectively. The Project Assistant will be responsible for providing logistical support for project-related events, assisting with the translation of important documents, and managing communication tools and supplies. The role is essential for ensuring that the project runs smoothly and that all deliverables are met in a timely manner. The successful candidate will be expected to collaborate closely with team members and contribute to the overall success of the project.

Duties and Responsibilities:
  • Work closely with the EpiC Vietnam Project Manager to provide administrative support and ensure effective project implementation.
  • Assist in the translation of reports, presentations, contracts, and other materials as needed.
  • Provide logistical support for project-related events, including planning and coordination of meetings and workshops.
  • Collaborate with Technical Officers to manage inventory of communication tools and lab supplies, ensuring that all materials are available when needed.
  • Support the preparation of project reports and documentation, ensuring accuracy and adherence to deadlines.
  • Assist in the organization of training sessions and capacity-building activities for project staff and stakeholders.
  • Perform other duties as assigned by the Project Manager to support the overall objectives of the EpiC project.

Required Qualifications:
  • Bachelor’s degree in English, communications, project administration, social work, public administration, public health, or a relevant field.
  • Minimum of 2 years’ experience in an administrative or translation role, preferably within public health or NGO projects.
  • Strong organizational skills with the ability to prioritize tasks effectively.
  • Excellent written and oral communication skills in both English and Vietnamese.
  • Proficiency in MS Office applications, including Word, Excel, and PowerPoint.
  • Ability to travel as necessary for project-related activities.

Educational Background:
Candidates must possess a Bachelor’s degree in a relevant field such as English, communications, project administration, social work, public administration, or public health. This educational background is essential for understanding the complexities of project management and communication within the context of public health initiatives.

Experience:
The position requires a minimum of 2 years of experience in an administrative or translation role. Experience working with public health or NGO projects is considered an advantage, as it demonstrates familiarity with the challenges and requirements of such environments. Candidates should have a proven track record of managing administrative tasks and supporting project implementation effectively.

Languages:
Fluency in both English and Vietnamese is mandatory for this position, as the role involves translation and communication with diverse stakeholders. Proficiency in additional languages may be considered a plus, but it is not a requirement.
