Job Overview: The Business Support Assistant position is crucial for ensuring the smooth operation of the WFP Indonesia Country Office. Duties and Responsibilities: The Business Support Assistant will perform a wide range of duties, including but not limited to: providing executive support to the Country Director and Deputy Country Director, managing their calendars, and handling communications with discretion. The assistant will prepare and process administrative requests and documents, draft correspondence and reports, and maintain the WFP Indonesia Country Office Calendar. Responsibilities also include supporting the Head of Enabling Services with protocol procedures, managing social media accounts for senior management, and providing administrative support to the Human Resources Unit. The assistant will oversee event management for non-programme-specific events, manage travel arrangements for staff and visitors, and act as the focal point for vendor management. The role requires a high level of organization, attention to detail, and the ability to work under minimal supervision while maintaining a professional demeanor.
Required Qualifications: Candidates must have completed secondary school education, with a post-secondary certificate in a related functional area being desirable. Training or courses in human resource management, business administration, or communications are also beneficial. Proficiency in Microsoft applications is essential, along with strong communication skills and the ability to manage multiple tasks simultaneously. The ideal candidate should demonstrate a solid understanding of business practices and possess the ability to develop and maintain relationships with various stakeholders to provide high-quality support services.
