Job Overview:
The internship program at UNDP Ethiopia is designed to provide graduate-level students with practical experience in protocol and logistics management. Interns will work under the guidance of the Protocol and Customs Analyst, gaining insights into the administrative services related to protocol and customs clearance. The role emphasizes accuracy, timeliness, and attention to detail, aligning with UNDP's client-oriented approach. Interns will enhance their organizational and communication skills while supporting event coordination and gaining a deeper understanding of UNDP’s mission and values. This position is an excellent opportunity for students to apply their academic knowledge in a real-world setting, contributing to the effective functioning of the UNDP Ethiopia Country Office.

Duties and Responsibilities:
The Intern will be responsible for a variety of tasks under the supervision of the Protocol and Customs Analyst. Key duties include:
  • Protocol Services: Assisting in the processing of residence permits, entry and exit visas, and visa extensions by liaising with the Ministry of Foreign Affairs and Immigration. This involves ensuring that all required documentation is accurately prepared and submitted in a timely manner, as well as following up on approvals and renewals.
  • Logistical Support: Facilitating customs clearance and shipment logistics by coordinating with relevant government authorities, including the Customs Commission and local customs clearing agents. The intern will ensure the preparation and submission of all necessary documentation, manage official correspondence, and monitor the progress of shipments to ensure timely delivery and compliance with regulations.
  • Documentation: Maintaining organized and up-to-date records related to protocol and logistics activities, assisting in the filing, retrieval, and archiving of official documents.
  • Cost Recovery: Assisting in preparing cost recovery documentation for the services provided by the unit.
  • Communication: Serving as a liaison between programme teams and UN agencies to facilitate smooth and effective information exchange and timely follow-up on pending actions.
  • Administrative Support: Providing administrative assistance by participating in meetings, preparing meeting minutes, and supporting the day-to-day administrative operations of the unit, including scheduling, correspondence, and document management.
  • Additional Tasks: Performing other related duties as assigned by the supervisor.

Required Qualifications:
Applicants must be enrolled in or have recently graduated from a postgraduate degree programme (such as a master’s programme) or have recently graduated with a first-level university degree in Business Administration, Management, Logistics, International Relations, or a related field. Candidates must start the internship within one year of graduation. Proficiency in Microsoft Office and other relevant software tools is essential. Strong communication skills, both written and oral, are required, with the ability to adapt messages to various audiences. Excellent organizational and multitasking capabilities are necessary, along with the ability to perform under pressure, prioritize tasks, and meet deadlines. Strong interpersonal skills and the ability to collaborate with diverse teams are also important.

Educational Background:
The educational background required for this internship includes enrollment in or recent graduation from a postgraduate degree programme or a first-level university degree in fields such as Business Administration, Management, Logistics, International Relations, or a related area. This educational foundation is crucial for understanding the complexities of protocol and logistics management within the UNDP framework.

Experience:
While applicants to the UN Internship Programme are not required to have professional work experience, it is essential that their field of study is closely related to the type of internship they are applying for. The internship is designed for individuals who are looking to gain practical experience and apply their academic knowledge in a professional setting. Availability to work full-time for six consecutive months is a requirement for this position.

Languages:
Fluency in spoken and written English and Amharic is mandatory for this position. Proficiency in these languages is essential for effective communication within the UNDP and with external stakeholders, ensuring that all documentation and correspondence are accurately conveyed and understood.
