Job Posting Organization: The Department of Operational Support (DOS) was established to provide comprehensive operational support, advisory services, and solutions to various entities across the United Nations Secretariat. This includes departments, offices away from headquarters, peace operations, and regional commissions. The Human ResourcesServices Division (HRSD) within DOS is dedicated to fulfilling the human resources needs of client entities, overseeing everything from process development to service delivery. The division is responsible for establishing and managing rosters across all job families, organizing testing and examinations, and providing operational support and advisory services for clients. The Staffing Service (SS) within HRSD specializes in talent acquisition, testing, operational workforce planning, and organizational design across UN Secretariat entities. The Assessment and Innovation Section (AIS) provides administrative support to the Global Roster Section (GRS) in managing rosters for various examinations and assessments, including the Young Professionals Programmes (YPP) and Competitive Examinations for Language Positions (CELP).
Job Overview: The Human Resources Assistant position is located in the Assessment and Innovation Section (AIS) of the Human Resources Staffing Service (HRSS) within the Human Resources Services Division (HRSD) of the Department of Operational Support (DOS). The role involves reporting to the Human Resources Officer in AIS and encompasses a variety of responsibilities aimed at supporting recruitment activities, managing selection tests and examinations, and providing administrative support for human resources functions. The assistant will play a crucial role in the recruitment process by processing applications, maintaining candidate files, and assisting in the evaluation and screening of candidates for various positions. Additionally, the role includes organizing training courses and workshops, providing logistics support, and maintaining HR-related databases and websites. The position requires a proactive approach to problem-solving and a commitment to maintaining high standards of professionalism and efficiency in all tasks.
Duties and Responsibilities: The Human Resources Assistant will be responsible for a range of duties including:
Supporting designated departments in recruitment activities by assisting in the preparation and administration of selection tests and examinations, including internet-based tests.
Processing applications for examinations and tests, entering data on candidates' test results, and maintaining examination-related websites.
Managing applications for vacancies, preparing case files for candidates, and ensuring the transfer of files between offices.
Assisting in the filling of posts by conducting reference checks, academic verifications, and preparing offers of appointment.
Evaluating and screening applications for secretarial and clerical positions, including administering selection tests.
Maintaining vacancy announcement files and tracking their status.
Preparing documentation for recruitment meetings and assisting in the organization of training courses and workshops.
Providing general office support, including drafting correspondence, maintaining reference files, scheduling meetings, and conducting research on HR-related issues.
Updating HR-related statistics and preparing reports for various departments. 1
Performing various administrative duties such as leave recording and office supply requests.
Required Qualifications: Candidates must possess a high school diploma or equivalent. Completion of training programs in data analytics, business analytics, or data science is desirable. A minimum of five years of experience in human resources management, administrative services, or a related area is required. Proficiency in using MS Excel at an advanced level is desirable, along with experience in platforms such as MS SharePoint, OneDrive, Google Drive, Trello, or Jira. Familiarity with HRIT systems or Enterprise Resource Planning (ERP) systems is also desirable.
Educational Background: The educational requirement for this position is a high school diploma or equivalent. Additional qualifications such as completion of training programs in data analytics, business analytics, or data science are considered advantageous and may enhance a candidate's application.
Experience: The position requires a minimum of five years of relevant experience in human resources management, administrative services, or a related field. Candidates should demonstrate a strong background in recruitment processes, administrative support, and the use of various software tools for data management and analysis. Experience with advanced MS Excel and familiarity with HRIT systems or ERP systems will be beneficial.
