Job Overview: The Warehouse Coordinator will play a crucial role in coordinating activities related to warehouse maintenance and the management of goods receipt, storage handling, monitoring, and dispatch. This position is essential for supporting the delivery of high-quality programming aimed at assisting the poor and vulnerable populations. The Warehouse Coordinator will ensure that goods entrusted to the organization by donors are maintained according to established standards and comply with CRS and donor regulations, as well as international and local supply chain accountability standards. The role requires a proactive approach to managing warehouse operations, ensuring that all activities are conducted efficiently and effectively to meet program needs.
Duties and Responsibilities: The Warehouse Coordinator will be responsible for coordinating activities to ensure that warehousing and storage facilities, along with all necessary equipment and supplies, are secured and maintained in excellent physical condition. This includes conducting routine daily inspections to identify and address any damages or deficiencies immediately. The Coordinator will work closely with the logistics team to schedule the timely receipt, dispatch, and delivery of goods to distribution points and partners. Maintaining up-to-date information on the status of relief goods movement is critical. The role involves coordinating the receipt of goods, which includes offloading, checking, and verifying quantities, weight, and quality, as well as overseeing the dispatch process, which includes packing, labeling, and loading. Accurate documentation on all goods received and shipped must be prepared and maintained. Additionally, the Warehouse Coordinator will plan and supervise the work of casual laborers, oversee the storage and inspection of goods, and provide support in handling damage or loss of goods to ensure adequate stock levels are maintained. The Coordinator will also support an efficient inventory stock control system and oversee the maintenance of an up-to-date stock ledger. Filing and distributing documents as required and assisting with the preparation of reports related to goods movements, damage or loss, inventory stock control, and warehouse activities are also part of the responsibilities.
Required Qualifications: Candidates must possess a BA degree in a related field of study. A minimum of 4 years of work experience in inventory or warehouse coordination is required, preferably with an international organization. Candidates should have a solid understanding of inventory management and control principles, as well as the ability to manage a manual workforce. Proficiency in the MS Office package, particularly Excel and Word, is essential. Experience with database management systems, such as MS Access, is considered a plus. Good coordination, prioritization, and time management skills are necessary, along with ethical conduct in accordance with recognized professional and organizational codes of ethics. Strong communication and relationship management skills are also required, as well as a proactive, resourceful, solutions-oriented, and results-oriented approach.
Educational Background: The educational background required for this position includes a BA degree in a relevant field of study. This educational foundation is essential for understanding the principles of inventory management and warehouse operations, which are critical to the role of Warehouse Coordinator.
Experience: The position requires a minimum of 4 years of relevant work experience in inventory or warehouse coordination. Additional Notes: This position does not require travel. The role involves supervising Warehouse Keepers and maintaining key working relationships with internal staff, including PDP staff, Logistics Manager, LMIS officers, and SCM manager, as well as external partners such as CRS partners and transport and survey companies.
