Job Overview:
The Team Assistant position is crucial for the efficient operation of the office within the Department of Nuclear Safety and Security. The role involves providing administrative support to a group of professionals, ensuring that the office runs smoothly and effectively. The Team Assistant will be responsible for managing correspondence and records, organizing meetings and logistics, and performing various administrative activities. This position requires a proactive approach to problem-solving and the ability to work collaboratively with team members. The Team Assistant will also be expected to maintain high standards of communication and organization, contributing to the overall success of the department's objectives.

Duties and Responsibilities:
The Team Assistant will undertake a variety of tasks including: drafting standard correspondence and formatting documents according to corporate communication guidelines; managing office files and records, ensuring compliance with corporate standards; preparing visual aids for meetings and presentations; organizing internal and external meetings, including logistics and documentation; taking minutes and notes during meetings; making travel arrangements and preparing travel authorizations; inputting and retrieving information from databases; tracking financial budgets and expenditures; distributing work among support staff; and providing backup support to executive staff. The role requires attention to detail and the ability to manage multiple tasks simultaneously while adhering to deadlines.

Required Qualifications:
Candidates must have completed secondary education and possess a minimum of four years of general office support experience, ideally in an international environment. Proficiency in drafting correspondence and managing records is essential. The ability to provide training and guidance to new staff members is also required. Familiarity with MS Office applications, including Word, Excel, Outlook, and PowerPoint, is necessary for this role. Additionally, candidates should demonstrate strong communication skills and the ability to work effectively in a team setting.

Educational Background:
The minimum educational requirement for this position is the completion of secondary education. Candidates with further education or specialized training in administrative support or related fields will be viewed favorably. The role demands a solid understanding of office procedures and practices, as well as the ability to adapt to new technologies and systems as needed.

Experience:
The ideal candidate should have at least four years of experience in general office support roles, with some experience in an international context being highly desirable. This experience should include a demonstrated ability to manage administrative tasks efficiently and effectively, as well as experience in providing support to teams or departments. Familiarity with the operations of international organizations or governmental agencies will be an advantage.

Languages:
A strong command of English, both oral and written, is mandatory for this position. Knowledge of other official IAEA languages, such as Arabic, Chinese, French, Russian, and Spanish, is considered an asset and may enhance a candidate's application. The ability to communicate effectively in multiple languages will be beneficial in a diverse work environment.

The IAEA offers an attractive remuneration package, including a tax-free annual net base salary starting at EUR 50,032, along with benefits such as six weeks of annual vacation, a pension plan, and health insurance.
