Job Overview: The position of Magasinier is crucial within the Supply Chain unit of WFP, primarily responsible for maintaining the necessary stock levels of spare parts, lubricants, and other materials essential for the maintenance of light vehicles, armored vehicles, and both fixed and mobile motorized equipment. The Magasinier will work under the supervision of the Fleet and Garage Manager, ensuring that all inventory processes are adhered to, including the requisition, receipt, storage, issuance, and inventory management of supplies. This role requires a proactive approach to inventory management, ensuring that all stock levels are maintained to prevent shortages and that all goods received are accurately counted and recorded. The Magasinier will also be responsible for preparing orders for local and international procurement, ensuring compliance with WFP’s procurement policies and procedures, and maintaining a clean and secure storage environment for all materials. The position demands a high level of organization, attention to detail, and the ability to work collaboratively with other team members to achieve operational goals.
Duties and Responsibilities: The Magasinier will be tasked with a variety of responsibilities, including but not limited to: ensuring that all received goods are accurately counted and recorded, addressing any discrepancies in quantities; maintaining quality control over all incoming goods, reporting any damaged or incorrect items to the immediate supervisor; ensuring that all spare parts and materials requested are duly authorized and provided for the correct makes and models according to established criteria; accurately recording all returned spare parts and materials in the fleet management system; preparing requests for spare parts and materials to be transferred to other depots, ensuring proper packaging and sealing; supervising the physical loading of spare parts and materials for transport to prevent damage; obtaining and maintaining up-to-date catalogs, price lists, and cross-references for all operational assets; implementing effective inventory management practices to maintain minimum and maximum stock levels; organizing regular internal inventories and ensuring accurate inventory records; ensuring all spare parts and materials are stored in a safe, clean, and secure environment; preparing orders for local and international procurement and tracking the entire procurement process; submitting daily consumption and receipt reports, weekly stock reports, and ad hoc reports to the WFP Fleet section; keeping the spare parts store organized and labeled according to stock barcode policies; communicating expectations and objectives to team members, providing continuous feedback, and addressing any performance gaps; monitoring resource utilization effectively; ensuring compliance with all established inventory management guidelines and procedures; updating all data in the Fleet Management System regarding inventory control modules; sharing acquired experiences with other employees to foster team cohesion; ensuring adherence to WFP procedures regarding spare parts; supervising all spare parts storekeepers within WFP in Haiti; and performing any other tasks as assigned by the immediate supervisor.
Required Qualifications: Candidates must possess a diploma in computer science, administration, statistics, or a related field. They should have a minimum of two years of experience in a similar role, preferably as a spare parts storekeeper within a company or NGO. A strong understanding of spare parts for light vehicles, trucks, and generators is essential. Proficiency in Microsoft Office Suite is required, along with practical knowledge of fleet management database systems. Experience with computerized fleet management systems, particularly focusing on inventory control modules, is also necessary. Candidates should demonstrate strong organizational skills, attention to detail, and the ability to work effectively in a team environment.
Educational Background: The educational background required for this position includes a diploma in fields such as computer science, administration, statistics, or an equivalent qualification. This educational foundation is critical for understanding the technical aspects of inventory management and the operational requirements of the role.
Experience: The position requires candidates to have at least two years of relevant experience in a similar role, specifically as a spare parts storekeeper or in a related capacity within an organization or NGO.
