The selected candidate will work closely with the management team and another coordinator to provide comprehensive administrative support. This role involves managing a variety of deliverables, including the preparation of Board documents, Excel files, memoranda, and correspondence. The coordinator will also be responsible for creating and editing presentation slides, liaising with other departments and member country authorities, and managing logistics for high-level meetings, such as the yearly closed-door meetings on the New Arrangements to Borrow (NAB). The position requires a proactive approach to multitasking and the ability to handle evolving priorities with tact and diplomacy, as the division covers a wide range of subject matters and has many staff members.
Duties and Responsibilities: The duties and responsibilities of the Administrative Coordinator include:
Providing administrative support to the division's management team and coordinating with another administrative coordinator.
Preparing and managing various deliverables, including Board documents, Excel files, memoranda, and correspondence.
Creating and editing presentation slides for meetings and reports.
Liaising with other Fund departments and member country authorities to facilitate communication and collaboration.
Managing logistics for hybrid meetings and polls, ensuring all technical aspects are handled efficiently.
Arranging detailed logistics for high-level meetings, including the yearly closed-door meetings on the NAB.
Handling administrative responsibilities related to mission travel and telework policies.
Maintaining confidentiality and exercising discretion in handling sensitive information.
Demonstrating flexibility in working hours and being available for overtime when necessary. 1
Providing backup support to colleagues as needed.
Required Qualifications: The ideal candidate must possess excellent technical, communication, and interpersonal skills. They should be competent in managing evolving priorities with tact and diplomacy and comfortable in a multi-tasking environment. Additionally, the following qualifications are required:
A high school diploma or equivalent, supplemented by a minimum of four (4) years of relevant experience.
Proficiency in Microsoft Office applications, including Excel, OneNote, Outlook, PowerPoint, SharePoint, Teams, and Word.
Familiarity with major Fund IT applications such as the Common Review System, Fund’s Archiving System, EMS, iOffice, Nexus, Service hub, TRACES, TIMS, Peoplesoft, and Plunet.
Ability to leverage technology to improve work practices and communication flows.
Strong administrative, technological, and organizational capabilities.
Sound judgment and tact in handling contacts with staff at all levels and external stakeholders.
Strong written and verbal communication skills, along with a collaborative work attitude.
Educational Background: The educational background required for this position includes the completion of a high school diploma or equivalent. This foundational education should be supplemented by relevant professional experience, specifically a minimum of four (4) years in an administrative role or similar capacity, which demonstrates the candidate's ability to perform the required tasks effectively.
Experience: Candidates must have a minimum of four (4) years of relevant experience in administrative roles or similar positions. This experience should include proficiency in managing administrative tasks, handling communications, and supporting high-level meetings and logistics. The ability to work under pressure and manage multiple priorities is essential, as is experience in a collaborative work environment.
Languages: Proficiency in English is mandatory for this position. Strong written and verbal communication skills in English are essential for effective interaction with staff and external stakeholders. Additional language skills may be considered an asset but are not required for this role.
Additional Notes: This vacancy is for a 3-year Term appointment in accordance with the Fund’s employment rules.
