Job Overview: The UNV-Admin Assistant (Logistics and Asset) position at FAO Nepal is designed for a motivated and detail-oriented individual who will support the Operations Unit in logistics and asset management. This role is crucial for enhancing operational efficiency and ensuring accountability of resources during program and project implementation. The candidate will work closely with the Operations team to manage inventory control, coordinate logistics, track assets, and ensure compliance with organizational procedures. This position offers a unique opportunity to gain practical experience in operational systems, warehouse and field logistics, and administrative reporting, all while contributing to FAO Nepal's mission of delivering timely and effective interventions for a more resilient and food-secure Nepal.
Duties and Responsibilities: The UNV-Admin Assistant will perform a variety of tasks under the supervision of the FAO Representative in Nepal and the Assistant FAOR (Admin). Key responsibilities include:
Asset Management: Maintain and regularly update the asset register in accordance with organizational policies; tag and track all assets and inventory using appropriate labeling systems and digital tools; support periodic physical verification of assets and ensure timely disposal or reallocation of obsolete or damaged items, following UN procedures.
Procurement and Inventory: Follow up with procurement teams on delivery timelines and documentation; monitor stock levels of consumables and supplies, initiating timely replenishment when needed; assist in receiving, inspecting, and verifying incoming goods and materials.
Logistics Support: Assist in planning and coordinating logistics operations including transportation, customs clearance, distribution, and storage; maintain up-to-date shipment tracking and ensure timely delivery of goods and services; coordinate travel logistics for missions, workshops, and field activities, including ticketing, accommodation, and transportation arrangements.
Reporting and Documentation: Prepare regular reports on logistics operations, inventory status, and asset conditions; ensure proper filing and archiving of all logistics and asset-related documentation; support internal and external audits by providing relevant data and documentation as required.
Coordination and Communication: Liaise with internal teams, service providers, and government stakeholders for smooth execution of logistics operations; maintain clear communication with field offices and project teams on inventory and asset matters.
Required Qualifications: Candidates must demonstrate professionalism, integrity, teamwork, and respect for diversity. They should possess excellent interpersonal skills, the ability to establish effective partnerships, and a commitment to gender equality. Experience: Candidates should have prior experience in logistics, asset management, or a related field. Experience working in an international organization or a UN agency is highly desirable. The role requires a proactive approach to problem-solving and the ability to work effectively in a team-oriented environment. Familiarity with UN procedures and regulations would be beneficial, as well as experience in inventory management and procurement processes.
Languages: Fluency in English is mandatory, as it is the working language of FAO. Knowledge of local languages spoken in Nepal would be considered an asset, enhancing communication with local stakeholders and communities.
Additional Notes: This is a national UN Volunteer assignment, and the volunteer will be responsible for arranging their own housing and living essentials. The position is based in Kathmandu, which is classified under Phase 1 of the UN Security classification, indicating a generally stable security situation. Living conditions in Kathmandu are good, with comfortable and affordable housing options available. The volunteer will be part of the malicious insurance plan provided for national UN Volunteers. The role may involve travel within the area of operations and requires adaptability to potentially hazardous and remote conditions.
