Job Overview:
The Programme and Executive Associate will play a crucial role in supporting the Programme Team at UN Women China. This position involves providing finance and administrative support to ensure the effective implementation of programs aimed at empowering women and promoting gender equality. The associate will work closely with Programme Analysts and other team members to develop, implement, and monitor programs funded by both core and non-core resources. The role requires a strong focus on compliance with UN Women rules and regulations, as well as effective communication and coordination with various stakeholders. The associate will also provide executive support to the Country Representative, ensuring the efficient flow of information and timely action on various tasks. This position is integral to the success of UN Women’s initiatives in China, contributing to the overall mission of gender equality and women's empowerment.

Duties and Responsibilities:
  • Provide coordination support to the Programme Unit, ensuring successful implementation of assigned programs in collaboration with partner organizations.
  • Coordinate logistical support for events and workshops, including training sessions focused on ending violence against women and girls.
  • Assist in financial and administrative tasks, ensuring compliance with UN Women’s financial processes and maintaining accurate records.
  • Manage the Country Representative’s calendar, appointments, and communications, ensuring confidentiality and professionalism.
  • Facilitate the flow of information between the Country Representative and other units, prioritizing correspondence and ensuring timely responses.
  • Support knowledge building and sharing within the Programme Unit, contributing to training and dissemination of research outputs.
  • Maintain databases of partner agencies and assist in project proposal development.
  • Ensure proper control of financial documentation and assist in organizing events related to International Women’s Day and other significant activities.

Required Qualifications:
  • Secondary Education with specialized certification in Accounting and Finance, international studies, or social sciences is required.
  • A Bachelor’s Degree in Business or Public Administration, International Relations, or Social Sciences is desirable.
  • Minimum six years of relevant administrative or programme management experience is required for candidates with Secondary education, or a minimum of four years for those with a Bachelor’s degree.
  • Proficiency in using office software packages (MS Word, Excel) and experience with spreadsheet and database management is essential.
  • Strong organizational skills with the ability to manage multiple tasks and establish priorities effectively.
  • Experience in project budget management and knowledge of ERP systems, particularly ATLAS/Quantum, is an asset.

Educational Background:
Candidates must possess at least a Secondary Education with specialized certification in relevant fields such as Accounting and Finance, international studies, or social sciences. A Bachelor’s Degree in Business or Public Administration, International Relations, or Social Sciences is preferred and would enhance the candidate's qualifications for the role.

Experience:
The position requires a minimum of six years of relevant administrative or programme management experience for candidates with a Secondary education. For those with a Bachelor’s degree, a minimum of four years of relevant experience is required. Candidates should have experience in managing data, documents, correspondence, and reports, as well as a proven track record in project budget management. Familiarity with office software and the ability to handle a large volume of work under time constraints are also essential.

Languages:
Fluency in English and Chinese is mandatory for this position. Additionally, a working knowledge of another UN official language is considered an asset, enhancing the candidate's ability to communicate effectively in a diverse environment.
