Job Overview: The Project Assistant will play a crucial role in supporting the implementation of a project aimed at enhancing the integration of technological efficiencies into the workflows of migration and asylum instances in Belgium. This position requires close collaboration with the Project Associate and the Head of Unit for Migrant Protection and Assistance (MPA). The incumbent will assist in various project activities, including stakeholder consultations, best practice research, and coordination with technical experts. The role demands a solid understanding of artificial intelligence (AI) and enterprise architecture to effectively engage with experts in developing tailored solutions for the Belgian migration landscape. The Project Assistant will also be responsible for monitoring project deliverables and ensuring effective communication with partners and stakeholders.
Duties and Responsibilities: The incumbent will be tasked with several key responsibilities, including:
Assisting the Project Associate in implementing and monitoring project activities, ensuring adherence to work plans and deliverables.
Organizing steering committees, events, and focus group discussions to facilitate stakeholder engagement.
Liaising with partners and stakeholders to gather necessary information for project reporting and monitoring.
Coordinating with internal IOM units, such as finance and legal teams, regarding project budgets, contracts, and procurement processes.
Drafting final narrative and financial reports for submission to the project donor.
Collecting information to identify potential partnerships with civil society organizations, government entities, and research institutions.
Assisting in the preparation of conference presentations and speeches related to MPA.
Providing clerical support for the development of new projects and initiatives.
Performing any other tasks as required by the Project Associate or MPA team.
Required Qualifications: Candidates must possess a Bachelor’s degree (or higher) in political science, social science, migration studies, or a related field from an accredited institution, along with at least one year of relevant professional experience. Alternatively, candidates with a completed High School degree and three years of relevant professional experience will also be considered. Accredited institutions are those listed in the UNESCO World Higher Education Database. Candidates should demonstrate strong organizational and time-management skills, effective communication abilities, and the capacity to work independently under tight deadlines.
Educational Background: The educational requirements for this position include a Bachelor’s degree or higher in a relevant field such as political science, social science, or migration studies. Candidates with a completed High School degree may also apply if they have sufficient relevant experience. The educational background should be from an accredited institution recognized by the UNESCO World Higher Education Database, ensuring that the candidate has received a quality education that aligns with the responsibilities of the role.
Experience: The position requires candidates to have a minimum of one year of relevant professional experience in project assistance, particularly in the field of migration, which includes monitoring, evaluation, and reporting. Experience with project monitoring and evaluation tools is essential, as is familiarity with data analysis tools. Candidates with prior experience in tech integration within migration and asylum contexts will have a competitive advantage. A solid understanding of AI and enterprise architecture as they relate to organizational efficiency is also beneficial for this role.
Languages: Fluency in English, French, and Dutch is mandatory for this position. Candidates will be evaluated on their proficiency in these languages during the selection process, which may include written and oral assessments. While English, French, and Spanish are the official languages of IOM, proficiency in additional languages may be considered an asset.
Additional Notes: The position is subject to funding confirmation, and the selection process may be used to fill similar roles in various duty stations. Recommended candidates will remain eligible for appointment in similar positions for a period of 24 months.
