Job Posting Organization:
The Office of the Secretary General (OSG) is part of the International Civil Aviation Organization (ICAO), which provides leadership and direction to the ICAO Secretariat. The OSG supports the Secretary General in overseeing the work of various branches and offices within ICAO, including five Bureaus and seven Regional Offices. ICAO was established to promote the safe and orderly development of international civil aviation. It operates globally, with a presence in multiple countries through its regional offices, which are located in cities such as Bangkok, Nairobi, Dakar, Cairo, Paris, Lima, and Mexico City. The organization is dedicated to ensuring that civil aviation is safe, secure, and sustainable, and it plays a crucial role in setting international standards and regulations for aviation.

Job Overview:
The internship-position" style="border-bottom: 1px dotted #007bff !important;">internship position within the Office of the Secretary General is designed to provide support in various administrative and operational tasks. The intern will work closely with the Personal Advisor to the Secretary General, assisting in the preparation for high-level meetings, including the ICAO Assembly and Council meetings. The role involves drafting reports, minutes, and correspondences, as well as preparing presentations and other materials. The intern will also be responsible for developing management tools and tracking the implementation of decisions made during meetings. This position offers a unique opportunity to gain insight into the workings of international civil aviation and the United Nations system, while contributing to the effective functioning of the OSG.

Duties and Responsibilities:
The intern will have a diverse set of responsibilities, including:
  • Supporting the overall preparation for the ICAO Assembly, Council meetings, and senior-level management meetings.
  • Coordinating and preparing background and reference documentation for high-level meetings, bilateral or multilateral visits, conferences, and missions by the Secretary General.
  • Drafting reports and minutes of meetings to ensure accurate records of discussions and decisions.
  • Assisting in the preparation of correspondences, briefings, and talking points for the Secretary General.
  • Supporting the development of presentations and other materials required for meetings and events.
  • Assisting in the creation of management tools, such as tracking tools, to monitor the implementation of decisions and instructions.
  • Coordinating the formulation of strategies, assessments, and administrative issuances.
  • Supporting content management on web-based platforms to ensure information is up-to-date and accessible.
  • Performing other tasks as assigned by the Personal Advisor to the Secretary General.

Required Qualifications:
Candidates must have completed or be enrolled in a graduate degree programme (second-level university degree or higher) in a relevant field such as political science, law, public administration, management, or a related field in the aviation sector. For applicants from educational systems where higher education is not divided into undergraduate and graduate stages, a minimum of four years of full-time university studies is required. Proficiency in Microsoft Office applications, including Word, Excel, and PowerPoint, is essential. Experience with collaborative documentation processing tools or work management platforms is advantageous. Knowledge of ICAO's mandate, the aviation sector, or the United Nations system is also desirable.

Educational Background:
Candidates are required to have a graduate degree or be enrolled in a graduate programme at the time of application. This should preferably be in a field related to political science, law, public administration, management, or aviation. For those in educational systems without a clear distinction between undergraduate and graduate studies, completion of at least four years of full-time studies towards a degree is necessary.

Experience:
The position requires candidates to have a foundational level of experience, particularly with Microsoft Office tools. Practical experience in using collaborative documentation tools or work management platforms is considered an asset. Familiarity with ICAO and its operations, as well as the broader context of the aviation sector or the United Nations system, is beneficial but not mandatory.

Languages:
Fluency in English, including reading, writing, and speaking, is essential for this position. Additionally, a working knowledge of a second language of the Organization, such as Arabic, Chinese, French, Russian, or Spanish, is desirable and would enhance the candidate's profile.

Additional Notes:
This internship is unpaid, and all costs related to travel, insurance, accommodation, and living expenses must be covered by the intern. The internship duration is six months, with the possibility of renewal based on requirements. Interns are expected to work full-time, five days a week. The minimum duration for the internship is four months. Interns are prohibited from engaging in any other form of employment within ICAO during their internship and cannot apply for or be appointed to any post in the Secretariat or be contracted for any other remunerated employment with ICAO for six months following the end of their internship.
