Job Overview: The Project Assistant will play a crucial role in supporting the Democratic Governance Section within the OSCE Mission to Serbia’s Democratization Department. This position is designed for individuals who are proactive and organized, with a strong ability to manage multiple tasks effectively. The incumbent will be responsible for planning and providing timely support for various project activities, which include organizing workshops, conferences, and training seminars. The role also involves managing administrative tasks related to project implementation, including budget monitoring and expenditure adjustments. The Project Assistant will work closely with civil society partners to ensure the successful execution of small-scale projects and will assist in the evaluation of reports submitted by these partners. This position requires a strong commitment to the principles of democratization and governance, as well as the ability to work collaboratively with diverse stakeholders.
Duties and Responsibilities: The duties and responsibilities of the Project Assistant include:
Planning and providing proactive support for project activities, ensuring timely execution and alignment with project goals.
Organizing capacity development workshops, conferences, training seminars, and study visits, while managing all administrative aspects of these events.
Monitoring project funds and expenditures, estimating costs for activities, and proposing necessary budgetary adjustments.
Collaborating with civil society organizations to implement project activities, including monitoring the execution of small-scale projects.
Preparing terms of reference for the recruitment of consultants and overseeing their performance to ensure compliance with project objectives.
Initiating procurement procedures for services from external providers and ensuring timely delivery of these services.
Performing administrative tasks such as scheduling meetings, preparing documents, and maintaining an organized project filing system.
Drafting meeting minutes, sections of project reports, and concept notes.
Providing consecutive interpretation at meetings and events between Serbian and English. 1
Conducting computer-based research to gather and organize information relevant to project activities and assisting in report preparation.
Required Qualifications: Candidates must possess citizenship or permanent residency in the Republic of Serbia. A completed secondary education is required, supplemented by specialized training or formal studies in business administration, project management, social studies, humanities, or law. A minimum of five years of working experience in project planning, implementation, and reporting is essential, preferably within an international, governmental, or civil society context. Familiarity with security sector governance, democratization, and public policy development will be considered an asset. Candidates should demonstrate strong research skills and the ability to collect information from diverse sources. Excellent oral and written communication skills in both English and Serbian are mandatory, along with digital literacy and proficiency in Microsoft Office applications. Experience with ERP software is a plus. Candidates must also exhibit the ability to work effectively with individuals from various cultural, national, and religious backgrounds, and demonstrate gender awareness and sensitivity.
Educational Background: The educational background required for this position includes a completed secondary education, with additional specialized training or formal studies in relevant fields such as business administration, project management, social studies, humanities, or law. This educational foundation is essential for understanding the complexities of project management and governance.
Experience: The position requires a minimum of five years of relevant working experience in project planning, implementation, and reporting. This experience should ideally be gained in an international, governmental, or civil society context, providing the candidate with a solid understanding of the dynamics involved in project execution and stakeholder engagement.
Languages: Proficiency in both English and Serbian is mandatory for this position, as the Project Assistant will be required to communicate effectively in both languages. Excellent oral and written communication skills are essential. While not mandatory, knowledge of additional languages may be considered an asset, enhancing the candidate's ability to engage with diverse stakeholders.
Additional Notes: This is a fixed-term position with an initial duration of one year, subject to satisfactory completion of a six-month probationary period. The contract may be extended based on performance and the availability of funds until the end of the project, which is expected to run until October 31, 202
The monthly remuneration for this position is approximately EUR 1,504.92, subject to social security deductions.
