IOM's Movement Operations Units, coordinated under the Division of Resettlement and Movement Management (RMM), are responsible for all aspects of travel for migrants and refugees, working closely with resettlement and receiving governments and partners across various programs.

Job Overview:
The Operations Assistant (Data Processing) plays a vital role in the Movement Operations Unit, reporting to the Movement Operations Manager and directly supervised by the Senior Operations Assistant. This position is responsible for managing the data processing aspects of migrant and refugee travel assistance. The incumbent will handle the recording of demographic and biographic information in the MiMOSA system upon receiving travel requests, ensuring that all data is accurate and up-to-date. The role requires effective communication with third parties, such as embassies and Resettlement Support Centers, to confirm the receipt of travel requests. The Operations Assistant will also be responsible for securing and accounting for travel documents, ensuring compliance with local Standard Operating Procedures (SOPs), and maintaining the confidentiality and integrity of all relevant paperwork. The position demands a high level of professionalism and adherence to IOM's Code of Conduct, particularly in interactions with migrants and colleagues. The Operations Assistant will also prepare reports on documentation and service delivery, assist in data mining efforts, and provide feedback to supervisors on work progress and any issues encountered.

Duties and Responsibilities:
The Operations Assistant (Data Processing) will undertake a variety of duties, including but not limited to: recording demographic and biographic information in MiMOSA; confirming receipt of travel requests to third parties; securing and accounting for travel documents; ensuring the secure storage of documentation; processing exit permits in coordination with supervisors; issuing and dispatching travel documents; preparing travel-ready documentation for Field Support colleagues; preparing reports on documentation receipt and service delivery; assisting in data mining reports to maintain MiMOSA integrity; providing feedback on work progress; and maintaining confidentiality and integrity of paperwork. The incumbent will also be responsible for alerting supervisors of any non-compliance with SOPs or codes of conduct.

Required Qualifications:
Candidates must possess completed secondary education (high school) and have at least five years of relevant working experience, or three years of experience with a Bachelor’s degree. Prior experience in Movement Operations or transportation is considered a strong advantage. Strong computer skills, particularly in Word, Excel, and Internet usage, are essential, along with familiarity with Movement Operations-related databases and systems such as ATOMS, MiMOSA, SAR, and Amadeus.

Educational Background:
The minimum educational requirement for this position is completed secondary education (high school). Candidates with a Bachelor’s degree will be preferred, especially if they have relevant work experience in the field of migration or operations management.

Experience:
The position requires a minimum of five years of relevant working experience, or three years of experience if the candidate holds a Bachelor’s degree. Previous experience in Movement Operations or transportation is highly advantageous, as it provides the necessary background for understanding the complexities of migrant and refugee travel assistance.

Languages:
Fluency in English and Romanian is mandatory for this position, both oral and written. A working knowledge of Ukrainian and/or Russian is considered desirable and may enhance a candidate's suitability for the role.

Additional Notes:
This position is subject to local recruitment, meaning only candidates holding a valid residence and work permit for Moldova will be considered. The appointment will be contingent upon medical fitness certification, verification of residency, visa, and government authorizations where applicable. Candidates must provide evidence of full vaccination against COVID-19 as part of the mandatory medical entry on duty clearance.
