Job Overview: The Liaison Assistant plays a crucial role in providing administrative support to facilitate effective communication and coordination between the Secretary of Health (SoH) in the Philippines and the Stop TB Partnership Secretariat. This position requires maintaining confidentiality and adhering to protocol procedures while ensuring that the SoH office receives consistent service delivery. The incumbent will be responsible for logistical support for missions, organizing meetings, tracking commitments, and providing comprehensive administrative assistance. The role demands a proactive approach to managing schedules, preparing documentation, and supporting high-level events, thereby contributing to the overall mission of the Stop TB Partnership.
Duties and Responsibilities: The Liaison Assistant will undertake a variety of duties, including:
Providing logistical support for the Secretary of Health's missions and representation schedule, including travel arrangements for Stop TB Partnership events.
Organizing regular and ad-hoc meetings, preparing minutes, and summarizing actions to be taken, while tracking progress on planned issues.
Following up on deadlines, commitments made, and actions taken, as well as coordinating the collection of information for briefings or reports.
Offering administrative support related to governance meetings, including drafting communications.
Delivering all necessary administrative, logistical, protocol, and secretarial services for the Secretary of Health.
Assisting in the organization of special events, luncheons, and receptions for high-level invitees from various sectors.
Supporting the organization of internal meetings, conferences, workshops, and retreats, including preparing agendas and logistics arrangements, and circulating documentation for review.
Required Qualifications: Candidates must possess a minimum of four years of relevant experience in administrative or operational support. Experience in public health is desirable, as is familiarity with the UN system. The role requires a strong commitment to confidentiality and professionalism, as well as the ability to work effectively in a team-oriented environment. Candidates should demonstrate a proactive approach to problem-solving and possess strong organizational skills.
Educational Background: Completion of secondary education is required for this position. A first university degree in Business Administration, Public Administration, Public Health, or equivalent disciplines is desirable but not mandatory. Administrative certification is considered an asset and may enhance a candidate's qualifications.
Experience: The position requires a minimum of four years of relevant experience in administrative or operational support. Experience in the public health sector is preferred, and familiarity with the UN system is also advantageous. Candidates should have a proven track record of providing high-quality administrative support in a fast-paced environment.
Languages: Fluency in both written and spoken English is mandatory for this position. Proficiency in additional languages may be considered an asset but is not required.
Additional Notes: The contract type for this position is a Local Individual Contractor Agreement (LICA), specifically at the LICA 4, ICS4 level. The contract duration is for one year, with the possibility of extension based on performance and availability of funding.
