Job Overview: The WBPC Finance and Admin Officer plays a crucial role in supporting the Consortium's operations by managing finance and administrative tasks essential for the smooth functioning of the unit. This position is designed to ensure that daily operations are conducted efficiently and effectively, providing necessary support to the Partnership Coordinator and other team members. The officer will be responsible for tracking financial transactions, assisting in budgeting processes, and ensuring compliance with organizational guidelines. Additionally, the role involves coordinating travel logistics, managing meetings, and providing general administrative support, making it integral to the overall success of the Consortium's objectives.
Duties and Responsibilities: The Finance and Admin Officer will have a comprehensive set of responsibilities that include:
Finance: - Supporting and tracking all financial purchase requisitions and payments for WBPC, including petty cash payments, cash advances, and utilities payments. - Assisting the Partnership Coordinator with monthly budget versus expenses reporting. - Collecting financial information from partners for budgeting and reporting purposes. - Providing support for budgeting and reporting processes for donor proposals and reporting. - Assisting with audits by providing auditors with the requested documentation.
Administration: - Ensuring a proper filing system of documents as per the organization's guidelines. - Maintaining and updating WBPC contact databases, regularly collecting, verifying, and updating contact information. - Coordinating all travel-related issues, including official trips of the advocacy team, home leaves, and diplomatic visits. - Working closely with NRC logistics on vehicle requests and daily movements. - Planning, scheduling, and coordinating logistics for workshops and meetings, including scheduling with participants, taking minutes, booking venues, setting up communication equipment, and procuring refreshments. - Assisting with reporting tasks, including minor editing, formatting, and printing of documents. - Performing photocopying and scanning tasks. - Providing general logistical and administrative support to the CoP and other members of the Secretariat as necessary. - Taking overall minutes, recording decisions, distributing and filing documents, and ensuring follow-up wherever necessary. - Performing any other tasks and support to the Secretariat and/or WBPC as deemed necessary.
Required Qualifications: Candidates must possess a minimum of three years of professional experience in support services, particularly in administration and finance or a related field. Experience working as a Support Function Officer is highly desirable. Applicants should demonstrate knowledge and experience in an organizational context, with documented results related to the responsibilities of the position. A very good command of English, both written and spoken, is essential for effective communication in this role.
Educational Background: The position requires candidates to have a relevant educational background, typically a degree in finance, business administration, or a related field. This educational foundation is crucial for understanding the financial and administrative tasks associated with the role and for ensuring compliance with organizational policies and procedures.
Experience: The ideal candidate should have at least three years of professional experience in support services, particularly in administration and finance. This experience should include working in a similar role within an organizational context, demonstrating the ability to manage financial transactions, support budgeting processes, and provide administrative assistance effectively.
Languages: Fluency in English is mandatory, both in writing and speaking, as it is the primary language of communication within the organization. Knowledge of additional languages, particularly Arabic, would be considered an asset and beneficial for interacting with local partners and stakeholders.
