Job Overview:
The position of National Consultant to Provide Administrative Support to UNHCC/ECA involves a range of administrative functions aimed at supporting the United Nations Health and Climate Change initiative within the Economic Commission for Africa (ECA). The consultant will be expected to facilitate communication and coordination among stakeholders, assist in the preparation of reports and documentation, and ensure that administrative processes are efficient and effective. The role requires a proactive approach to problem-solving and the ability to manage multiple tasks simultaneously. The consultant will also be responsible for maintaining records and databases, organizing meetings, and providing logistical support for events related to the initiative. This position is critical in ensuring that the administrative aspects of the project run smoothly, allowing the team to focus on achieving its objectives.

Duties and Responsibilities:
The duties and responsibilities of the National Consultant include but are not limited to:
  • Providing comprehensive administrative support to the UNHCC/ECA team, including scheduling meetings, preparing agendas, and taking minutes.
  • Assisting in the preparation and formatting of reports, presentations, and other documentation as required.
  • Maintaining an organized filing system for project documents and ensuring that all records are up to date.
  • Coordinating logistics for meetings, workshops, and events, including venue selection, catering, and participant communication.
  • Supporting the procurement process by preparing necessary documentation and liaising with vendors as needed.
  • Assisting in the management of project budgets and financial reporting.
  • Facilitating communication between team members and external stakeholders to ensure alignment on project goals.
  • Conducting research and compiling information relevant to the project as requested.
  • Providing technical support for the use of the UNDP Quantum supplier portal system. 1
  • Performing any other related duties as assigned by the supervisor.

Required Qualifications:
The required qualifications for this position include:
  • Proven experience in administrative support roles, preferably within international organizations or NGOs.
  • Strong organizational skills with the ability to manage multiple tasks and prioritize effectively.
  • Excellent written and verbal communication skills in English.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and familiarity with project management software.
  • Knowledge of procurement processes and experience with supplier management systems is an advantage.
  • Ability to work independently as well as part of a team in a multicultural environment.
  • Strong attention to detail and a commitment to delivering high-quality work.

Educational Background:
The educational background required for this position includes a minimum of a bachelor's degree in business administration, management, or a related field. A master's degree would be an advantage. Candidates with relevant certifications in project management or administration will also be considered favorably.

Experience:
Candidates should have at least 3-5 years of relevant experience in administrative support or project coordination. Experience working with UN agencies or similar international organizations is highly desirable. Familiarity with health and climate change issues will be considered an asset.

Languages:
The mandatory language for this position is English. Proficiency in additional languages, particularly French or Arabic, would be considered a strong asset and may enhance a candidate's application.

Additional Notes:
This position is offered as an individual contractor role, which may be part-time or full-time depending on the needs of the project. The contract duration will be specified upon selection, and the consultant will be expected to work remotely or on-site in Ethiopia as required. Compensation will be commensurate with experience and in line with UNDP standards.
