Job Overview:
The Staff Assistant position at the Regional Commissions New York Office (RCNYO) involves providing comprehensive office management and administrative support to the Director and staff. The role requires a proactive approach to ensure smooth operations within the office, including maintaining communication with senior officials and managing schedules. The Staff Assistant will be responsible for preparing background materials for meetings, coordinating activities, and assisting in the development of administrative systems. This position is crucial for facilitating the work of the Regional Commissions and ensuring effective communication and organization within the office.

Duties and Responsibilities:
The Staff Assistant will perform a variety of duties including: managing office functions and administrative support for the Director and staff; liaising with the Executive Office and senior officials; ensuring efficient information flow; preparing and processing confidential information; assisting in the coordination of activities and scheduling appointments; orienting new staff; providing logistical support for visits to UN Headquarters; drafting responses to correspondence; maintaining files and databases; and performing other administrative duties as assigned. The role also includes preparing presentation materials and providing specialized support as needed.

Required Qualifications:
Candidates must possess a high school diploma or equivalent. A minimum of five years of experience in general office support or a related area is required, with a reduction to three years for those holding a first-level university degree or higher. Familiarity with integrated information management systems and proficiency in Microsoft Office applications, Adobe Photoshop, and Acrobat are desirable. Candidates should demonstrate strong organizational skills and the ability to manage multiple tasks effectively.

Educational Background:
A high school diploma or equivalent is required for this position. Candidates with a first-level university degree or higher may have a reduced experience requirement, indicating that higher education is valued and can substitute for some work experience.

Experience:
The position requires a minimum of five years of relevant experience in general office support or a related field. However, candidates with a first-level university degree or higher can qualify with only three years of experience. Experience with integrated information management systems, such as UMOJA, is considered an asset, as is proficiency in Microsoft Office applications and other relevant software.

Languages:
Fluency in English is mandatory for this position, as it is one of the working languages of the United Nations. Knowledge of another official UN language, such as French, is advantageous and may enhance a candidate's application.
