Job Overview: The Programme Management Assistant plays a crucial role in supporting the director" style="border-bottom: 1px dotted #007bff !important;">Deputy Director for West Africa and the Sahel by assisting in the monitoring of international developments and preparing documentation for departmental programs and projects. The assistant will compile and summarize briefing materials, maintain communication across various UN units, and ensure that all administrative tasks related to program activities are executed efficiently. The role demands a high level of organization, attention to detail, and the ability to work collaboratively with colleagues to achieve organizational goals.
Duties and Responsibilities:
Monitor international developments on assigned subjects and prepare documentation for departmental programs/projects.
Compile working documents and summarize briefing materials, notes, and correspondence.
Maintain contact across DPPA Units, Special Political Missions, and UN Agencies, coordinating with service units at UNHQ and in the field.
Review working documents for completeness and distribute them upon approval.
Verify availability of funds and ensure necessary approvals are processed in the computerized system.
Serve as the focal point for extra-budgetary matters and administrative coordination of program activities.
Compile and summarize data on project delivery and draft status reports.
Draft routine correspondence and process incoming and outgoing correspondence.
Provide general office assistance, respond to information requests, and maintain files/records. 1
Organize meetings and workshops, and handle routine administrative tasks. 1
Provide guidance and training to new or junior staff. 1
Perform other duties as assigned.
Required Qualifications: Candidates must possess a minimum of five years of experience in program or project administration, technical cooperation, or a related area. This requirement is reduced to three years for candidates with a first-level university degree or higher. Experience with UN administrative electronic tools, such as Umoja or ERP systems, is essential. Additionally, experience in general office support within the UN or other international organizations is desirable, as is experience in organizing travel and managing travel requests through ERP systems. Candidates should also have experience providing support to high-level officials and field operations.
Educational Background: A high school diploma or equivalent is required for this position. There are no specific job-related qualifications listed, but a first-level university degree may reduce the required years of experience.
Experience: The position requires a minimum of five years of relevant experience in program or project administration, technical cooperation, or a related area.
