Job Overview: The Administrative Officer position is crucial within the UNMISS field office in Wau, where the incumbent will report directly to the Field Administrative Officer (FAO). The Administrative Officer will supervise administrative and support staff, providing guidance on policies and procedures. The position also entails managing budget and financial resources in accordance with UN finance rules, coordinating communication between the FAO and other support sections, and overseeing staff welfare activities. Duties and Responsibilities: The duties and responsibilities of the Administrative Officer include:
Coordinating operational activities of the Field Administration Office to enhance efficiency and ensure compliance with organizational policies.
Supervising administrative and support staff, providing clear interpretations of policies and procedures.
Establishing procedures for the retention, protection, retrieval, transfer, and disposal of records, while supervising the maintenance of administrative records and databases.
Assisting the FAO in managing budget and financial resources in a cost-effective manner, adhering strictly to UN finance regulations.
Facilitating communication and information flow between the FAO and Field Office support sections, providing guidance to service users.
Managing staff welfare activities, including event coordination and vendor management.
Preparing annual, monthly, and periodic reports, and coordinating statistical data.
Assisting in administering first-line human resources management, including recruitment processes and contractor administration.
Providing administrative support for meetings, workshops, and other events. 1
