Job Overview:
The Senior Staff Assistant position is crucial for the effective administration of the Office of Information and Communications Technology. The incumbent will provide substantive and administrative support to the Director of the Operations Support Division, ensuring that management directives are executed efficiently. This role involves managing priorities and workflows, serving as a communication link between the supervisor and senior staff, and handling a variety of complex information requests. The Senior Staff Assistant will also be responsible for time management and scheduling, representational duties, and the organization of official meetings and receptions. The position requires a proactive approach to problem-solving and the ability to prioritize tasks effectively, ensuring that the office operates smoothly and efficiently.

Duties and Responsibilities:
The duties and responsibilities of the Senior Staff Assistant include: assisting in the overall administration of the department/division, providing substantive and administrative support, coordinating and monitoring diverse activities, serving as a communications link, managing time and scheduling for the manager, undertaking representational duties, screening and prioritizing correspondence, compiling background documents, independently handling complex information requests, supporting the manager in presentations, establishing administrative procedures, organizing official receptions and meetings, preparing and processing confidential information, managing various administrative duties, exercising quality control for outgoing documents, producing complex documents and reports, managing internal databases, and performing other assigned duties.

Required Qualifications:
Candidates must possess a high school diploma or equivalent. A minimum of seven years of progressively responsible experience in general office support, administration, or a related area is required. This experience requirement is reduced to five years for candidates with a first-level university degree or higher. Experience in drafting and proofreading correspondence, providing assistance to senior officials, and working in an international organization is also required. Familiarity with Enterprise Resource Planning software and business analytics tools is desirable.

Educational Background:
The educational background required for this position is a high school diploma or equivalent. Candidates with a first-level university degree or higher will have a reduced experience requirement, highlighting the importance of educational qualifications in this role.

Experience:
The position requires a minimum of seven years of progressively responsible experience in general office support, administration, or a related area. For candidates with a first-level university degree or higher, the minimum experience requirement is reduced to five years. Relevant experience in drafting and proofreading correspondence and assisting senior officials is essential, while experience in an international organization is considered desirable.

Languages:
Fluency in oral and written English is required for this position. Knowledge of another official United Nations language is desirable, as English and French are the working languages of the United Nations Secretariat.
