Job Overview:
CIMMYT is seeking a dynamic, self-motivated, and service-oriented professional for the position of HR Executive Assistant to work in the Human Resources Department, under Operations Chapter. The HR Executive Assistant will be based at CIMMYT’s headquarters in Texcoco, near Mexico City. This role is crucial in supporting the HR Director by managing their agenda, organizing travel arrangements, and ensuring efficient communication within the HR department. The HR Executive Assistant will be responsible for maintaining an organized filing system, managing the HR Office email account, and ensuring confidentiality of sensitive information. The position requires a proactive approach to problem-solving and the ability to prioritize tasks effectively, ensuring that the HR management function operates smoothly and efficiently.

Duties and Responsibilities:
The HR Executive Assistant will have a variety of specific duties, including: managing the agenda of the HR Director and supporting routine correspondence; planning, organizing, and maintaining an efficient filing system; maintaining the HR Director’s calendar and organizing travel arrangements; prioritizing and organizing HR Management function's appointments and meetings; supporting the preparation of documents, reports, presentations, and other administrative tasks; processing HR management office general payments, reimbursements, invoices, and petty cash; organizing HR logistics for events, travels, courses, and workshops; elaborating detailed reports of pending items requiring HR director signature; providing support within the HR department by maintaining communication and administration workflow; managing the HR ticketing system; and ensuring strict confidentiality of data and information.

Required Qualifications:
Candidates must possess a Bachelor’s degree in business administration or professional studies as an Executive Secretary or in similar related administrative areas. Additionally, candidates must have at least 3 years of experience in a similar role or responsibilities. An advanced level of proficiency in the MS Office Suite and/or MS365 (including Word, Excel, PowerPoint, Outlook, Teams, etc.) is required, along with experience in preparing relevant management information with a strong focus on attention to detail. Good verbal and written communication skills are essential, and candidates must demonstrate advanced English proficiency, scoring a minimum of C1 on the CEFR.

Educational Background:
The educational background required for this position includes a Bachelor’s degree in business administration or a related field, such as professional studies as an Executive Secretary. This educational foundation is essential for understanding the administrative and operational functions of the HR department and for effectively supporting the HR Director.

Experience:
The position requires a minimum of 3 years of experience in a similar role or responsibilities. This experience should include administrative support, managing schedules, organizing travel, and handling correspondence, which are critical for the effective functioning of the HR department. Candidates should also have experience in using various office software and tools to facilitate their work.

Languages:
The mandatory language for this position is English, with an advanced level required. Candidates will be tested on their English proficiency and must score a minimum of C1 on the CEFR. While English is the primary language of communication, proficiency in additional languages may be considered an asset, enhancing the candidate's ability to communicate in a diverse work environment.

CIMMYT offers an attractive remuneration package that includes benefits in addition to the provisions of the Mexican Labor Law. These benefits include a year-end bonus equivalent to 40 days of salary, a vacation premium of 56%, life and medical insurance, supermarket coupons, a savings fund, and social benefits provided by the Mexican system (IMSS, SAR / Infonavit).
