Job Overview:
The Finance & Administrative Coordinator position at IFPRI's Development Strategies and Governance Unit (DSG) is a critical role that supports the financial and administrative functions of the unit. This one-year, renewable appointment is based in IFPRI’s South Asia Office in New Delhi, India. The coordinator will be responsible for a variety of tasks including travel organization, contract drafting and monitoring, financial reporting, and invoice management. The role requires a proactive individual who can manage multiple tasks efficiently and ensure that all project activities are executed smoothly. The coordinator will work closely with project leaders and collaborators to ensure that all deliverables are met on time and within budget. This position is ideal for someone who thrives in a dynamic environment and is looking to contribute to meaningful research that impacts food policy and governance.

Duties and Responsibilities:
The Finance & Administrative Coordinator will have a comprehensive set of duties and responsibilities, including but not limited to:
  • Project Logistical Coordination: Provide logistical support for project activities, including drafting and monitoring project subcontracts for complex divisional projects.
  • Deadline Monitoring: Ensure timely receipt of collaborator deliverables and submission of donor deliverables as requested.
  • Accounting Support: Prepare travel and field expense reports, file and monitor project budgets, and manage collaborator and donor-approved budget expenditures.
  • Invoice Management: Submit and monitor collaborator invoices upon approval of deliverables and follow up on payments.
  • Database Maintenance: Maintain various administrative and unit databases, including collaborator and project lists, and monitor project end-dates for closeout.
  • Financial Reporting: Prepare periodic financial reports and invoices for donors, monitor receivables, and assist with annual statutory audits.
  • Data Entry: Perform data entry in Tally and finalize accounts books according to Indian accounting standards.
  • Communication: Address internal and external inquiries regarding project financial matters and assist with project status reports.
  • Other Duties: Perform additional tasks as assigned by project leaders or management.

Required Qualifications:
Candidates must possess a Bachelor’s degree in accounting or finance, along with a minimum of two years of relevant experience. Alternatively, an associate’s degree with five years of relevant experience will also be considered. Preference will be given to candidates who are intermediate or pursuing CA/CS/CWA qualifications. Knowledge of Tally software is preferable. Proficiency in MS Office applications, particularly Microsoft Word, Outlook, Excel, and PowerPoint, is required. Strong analytical skills and the ability to work effectively in a multi-cultural team environment are essential. Excellent oral and written communication skills, along with a demonstrated ability to follow through on tasks to completion, are also necessary. Experience in a fast-paced work environment is highly valued.

Educational Background:
The educational background required for this position includes a Bachelor’s degree in accounting or finance. Candidates with an associate’s degree and significant relevant experience may also be considered. Additional qualifications such as CA, CS, or CWA are preferred, indicating a higher level of expertise in finance and accounting.

Experience:
The position requires candidates to have at least two years of relevant experience in finance or accounting for those with a Bachelor’s degree. For candidates with an associate’s degree, a minimum of five years of relevant experience is necessary. Experience in project financial management, accounting support, and administrative coordination is highly desirable, particularly in an international or research-focused environment.

Languages:
Fluency in English is mandatory, as the role involves extensive communication and reporting. Knowledge of additional languages may be considered an asset but is not explicitly required for this position.
