Job Overview:
The Finance Team Administrative Associate plays a crucial role in supporting the Finance Group (FG) within UNOPS. This position is responsible for providing technical and administrative support services that cover both specialized and non-specialized processes in administration and logistics. The incumbent will work under the guidance of the Deputy Chief Financial Officer (DCFO) and report directly to the Chief Financial Officer (CFO). The role emphasizes a client-oriented approach, ensuring that office resources are utilized in a cost-effective manner while maintaining high standards of service delivery. The Associate will be involved in various functions, including investment advisory committee support, management support, logistics management services, and knowledge building and sharing. This position is pivotal in ensuring effective and timely support to the CFO and the broader Finance Group, contributing to the overall success of financial management within the organization.

Duties and Responsibilities:
  • Investment Advisory Committee Support: The Associate will assist the secretary of the Investment Advisory Committee (IAC) with all administrative matters, including arranging travel for IAC members, ensuring security" style="border-bottom: 1px dotted #007bff !important;">security arrangements, booking flights and hotels, and processing visa requests. They will track travel authorizations and claims in the UNOPS ERP system and ensure compliance with UNOPS policies.
  • Management Support: This includes coordinating external forums, preparing management inputs for finance-related matters, supporting the planning of financial resources, and maintaining a detailed filing system for communication on behalf of the CFO. The Associate will also perform transactional roles in OneUNOPS for the Finance Group.
  • Logistics Management Services: Responsibilities include supporting travel authorizations, procurement support, timely processing of office expenditures, and assisting in budget preparation for the Finance Group. The Associate will also monitor contracts and coordinate office space matters.
  • Knowledge Building and Sharing: The Associate will organize training initiatives, facilitate knowledge sharing, and contribute to knowledge networks by synthesizing lessons learned and best practices in finance.

Required Qualifications:
The position requires a minimum of six years of relevant experience in general administrative, logistics, or operations support services within national or international public or corporate organizations. Experience in the UN system is desirable, as is familiarity with enterprise systems like OneUNOPS. Candidates should demonstrate strong organizational skills, attention to detail, and the ability to manage multiple tasks effectively. Additionally, candidates should possess a full working knowledge of English, and knowledge of another official UN language or regional working language is considered an asset.

Educational Background:
Completion of secondary school is required for this position. A bachelor's degree in Finance, Economics, Business Administration, Public Administration, Management, or related disciplines is desirable but not mandatory. In the absence of a university degree, relevant certifications can be considered an asset and may substitute for some years of experience.

Experience:
Candidates must have a minimum of six years of relevant experience in administrative, logistics, or operations support services. Experience in the UN system is preferred, and familiarity with enterprise systems such as OneUNOPS is also desirable. The role requires a proactive approach to problem-solving and the ability to work effectively in a team-oriented environment.

Languages:
A full working knowledge of English is mandatory for this position. Knowledge of another official UN language or a regional working language is considered an asset and may enhance a candidate's profile.

Additional Notes:
The contract type for this position is an Individual Contractor Agreement (ICA), specifically at the Local ICA Support 6 level. The contract duration is open-ended, subject to organizational requirements, availability of funds, and satisfactory performance. UNOPS officials in Denmark are exempt from taxation on salaries and emoluments, provided they reside in Denmark.
