Job Overview: The Executive Assistant position is a critical role within the WWF, based in the Washington, DC office. The primary responsibility of the Executive Assistant is to provide comprehensive administrative support to the Senior Vice President (SVP) of Durable Conservation and Finance and the Earth for Life team. This role encompasses a variety of standard and complex administrative tasks, requiring a high level of organization, communication, and knowledge of WWF's programs and policies. The Executive Assistant will manage the SVP's calendar, schedule meetings, coordinate travel arrangements, and prepare agendas for team meetings. Duties and Responsibilities: The Executive Assistant will be responsible for a wide range of duties, including but not limited to: managing the SVP's calendar and scheduling in-person and remote meetings; interfacing with senior staff on requests and needs involving the SVP; managing travel arrangements and bookings for the SVP; preparing agendas for Earth for Life team meetings; coordinating all aspects of meetings, travel, trainings, and events; monitoring deadlines and following up on delegated tasks; coordinating mailings and distributions of information; answering complex inquiries requiring detailed knowledge of department procedures; screening and routing phone calls; attending internal and external meetings as a representative of the department; drafting letters, memoranda, and other materials; proofreading and editing documents; assisting with budget processes; preparing and reviewing expense reports; providing general administrative support; maintaining complex files; and performing special projects and other duties as assigned.
Required Qualifications: Candidates must possess a Bachelor's degree or equivalent experience, along with a minimum of five years of progressively responsible experience in administrative roles, including at least two years in an executive office. A high degree of knowledge and competence in secretarial skills, organizational and analytical skills, and the ability to operate independently and meet deadlines are essential. Candidates should demonstrate resourcefulness, problem-solving abilities, and good judgment in balancing priorities. Basic accounting experience, strong writing skills, excellent interpersonal skills, and advanced knowledge of the MS Office Suite are required. The ability to manage a complicated calendar, coordinate travel arrangements, and communicate effectively with team members and external partners is crucial. Familiarity with word processing and spreadsheet software, as well as experience with calendaring and travel coordination, is desired.
