Job Overview: The Programme Assistant for Gender & Youth is tasked with providing comprehensive programmatic, administrative, and financial support to the Gender & Youth unit within UNFPA. This role is crucial for ensuring that the unit operates efficiently and effectively, delivering quality services to colleagues. The Programme Assistant will work under direct supervision, following clearly defined processes and guidelines, and will be expected to take a client-oriented approach to service delivery. The position involves close collaboration with the Finance Associate to ensure that all operations comply with UNFPA's rules and procedures. The Programme Assistant will also engage with senior management and technical staff, contributing to the overall success of the Gender & Youth programs.
Duties and Responsibilities: The Programme Assistant will be responsible for a variety of tasks, including:
Supporting the Gender & Youth Programme team by assisting with logistical arrangements for meetings, missions, workshops, and events, which includes procurement of supplies and logistical coordination.
Collecting supporting documents for payments and ensuring that all necessary documentation is in order.
Assisting in the archiving, filing, and maintenance of up-to-date electronic mailing lists related to Gender & Youth program matters.
Recording and distributing meeting minutes for Gender & Youth program meetings in a timely manner, and following up on agreed actions and implementation of tasks as needed.
Providing administrative support in compiling information for progress reports and other documentation as required.
Carrying out any other duties as assigned by UNFPA management to support the overall objectives of the organization.
Required Qualifications: Candidates must have completed Secondary Level Education as a minimum requirement. Additional training or certification in administration or office management is considered an asset. Applicants should possess strong interpersonal and organizational skills, as well as proficiency in computer applications such as Word, Excel, and PowerPoint. Knowledge of ERP systems is also advantageous. Good writing and communication skills are essential, along with the ability to work effectively in a team environment. Experience in disability-inclusive and gender-transformative programming is a plus.
Educational Background: The educational background required for this position includes a completed Secondary Level Education. Candidates with additional training or certification in administration or office management will have an advantage in the selection process.
Experience: The position requires a minimum of four years of relevant experience in project or program support within private, national, or international organizations. Some experience in research assistance is also necessary. Previous experience working within the UN system is considered an advantage, as it demonstrates familiarity with the organization's processes and culture. Candidates should have a proven track record of strong interpersonal and organizational skills, as well as the ability to manage multiple tasks effectively.
Languages: Fluency in both oral and written English is mandatory for this position. A working knowledge of another UN official language is considered an asset, enhancing the candidate's ability to communicate within the diverse UN environment.
