Job Overview:
As a member of the Client Services Team, the Human Resources Administrative Support role involves providing comprehensive administrative support throughout the employee lifecycle. This includes assisting the Human Resources Business Partner (HRBP) and Regional Human Resources Analyst/Specialist in delivering high-quality HR services to clients in both Regional and Country Offices. The position requires a proactive approach to recruitment management processes, onboarding, and offboarding, ensuring compliance with UNFPA's HR policies and objectives. The role is pivotal in maintaining HR data integrity, supporting performance management practices, and facilitating learning and development initiatives within the organization. The successful candidate will play a crucial role in enhancing the overall effectiveness of HR operations and contributing to the achievement of UNFPA's strategic goals.

Duties and Responsibilities:
  • Provide HR administrative support for recruitment management processes, including organizing recruitment logistics, managing documentation, and onboarding/offboarding staff.
  • Collaborate with HR Analyst/Specialist to ensure compliance with UNFPA's HR policies during recruitment.
  • Maintain Human Resources files and records securely and confidentially.
  • Collect and analyze HR data to inform decision-making processes.
  • Monitor contractual status of staff and advise on appointments, extensions, and separations.
  • Facilitate the performance appraisal process and support individual and organizational learning plans.
  • Provide general HR information to management and staff, and prepare written responses to HR-related queries.
  • Support logistical arrangements for learning and development activities.
  • Participate in meetings and events, taking minutes and ensuring successful execution of HR initiatives. 1
  • Perform any other duties as assigned by the HRBP or Deputy HR Director.

Required Qualifications:
  • Completed secondary level education (high school or equivalent) is required.
  • At least 6 years of progressively responsible HR and/or administrative experience is required.
  • Proficiency in using computers and office software packages (MS Word, Excel, etc.) is essential.
  • Experience with web-based management systems is preferred.
  • Strong organizational skills and attention to detail are necessary for maintaining HR data and records.

Educational Background:
The position requires a completed secondary level education, which is equivalent to high school education. Higher education in Human Resources, Business Administration, or a related field would be advantageous but is not mandatory.

Experience:
Candidates should have a minimum of 6 years of progressively responsible experience in human resources and/or administrative roles. This experience should demonstrate a solid understanding of HR processes and the ability to manage multiple tasks effectively. Familiarity with UNFPA's policies and procedures would be beneficial.

Languages:
Fluency in English is mandatory for this position. A working knowledge of another official UN language is desirable, which may include languages such as French, Spanish, Arabic, or Russian, enhancing communication within the diverse UN environment.
