Job Overview:
The Grants and Partnerships Coordinator plays a crucial role in managing the grants portfolio for the Ukraine country program. This position involves maintaining strong relationships with donors, ensuring compliance with their requirements, and facilitating effective coordination among various departments for grant management. The coordinator is responsible for implementing systematic Project Cycle Management, which includes organizing and leading quarterly project review meetings that involve input from colleagues in field bases and coordination. The role also encompasses managing proposal development, ensuring high-quality reporting and communication with donors and external stakeholders, and building the capacity of the team. Additionally, the coordinator will contribute to funding strategies and identify new opportunities to support both operational and strategic goals. Leading the Partnerships team is also a key responsibility, ensuring effective guidance and implementation of national partnerships in Ukraine.

Duties and Responsibilities:
The Grants and Partnerships Coordinator will be tasked with managing multiple grants with diverse donor requirements, reporting formats, and timelines, ensuring strict adherence to compliance standards. They will lead on reporting and compliance for ongoing projects, particularly focusing on a complex ECHO project. The coordinator will work closely with the Project Coordinator to ensure a successful kickoff for new projects funded by CDCS and AFD, and will implement Project Cycle Management. They will also lead consortium efforts for ECHO projects and support the effective delivery of implementing partners, ensuring compliance with reporting requirements. The role requires proactive communication with donors, building confidence in SI while ensuring accountability and performance. The coordinator will need to quickly establish relationships with staff across various bases to understand the mission and challenges, while also managing the transition of institutional knowledge due to staff turnover.

Required Qualifications:
Candidates must possess expertise in grant management and compliance, with a strong understanding of key donors such as ECHO and BHA. They should have experience in proposal development and donor engagement, as well as excellent report writing, formatting, data analysis, and visualization skills. Strong communication skills are essential for ethical communication and developing relevant communication products for external stakeholders. Additionally, candidates should demonstrate management skills to supervise the team and build their capacity, along with effective communication for interdepartmental coordination.

Educational Background:
A diploma in Project Management or a related field is required for this position. Candidates should have a solid educational foundation that supports their understanding of grant management and humanitarian operations.

Experience:
The ideal candidate should have 3-4 years of experience in the humanitarian sector, with 0-2 years in a similar position. This experience should include managing grants and partnerships, as well as working in complex humanitarian environments.

Languages:
Fluency in English is mandatory for this position, while proficiency in French is considered desirable. Strong communication skills in both languages will be beneficial for donor engagement and reporting.

  • The salary is competitive, starting from EUR 2860 gross per month, which includes a base salary and an annual leave allowance. Additionally, a monthly Per Diem of USD 700 is provided. SI covers accommodation costs and travel expenses for expatriates. The organization implements a system of breaks during the assignment, allowing for time off every three months, along with an additional rest day for each month worked. Expatriates benefit from a comprehensive insurance package covering healthcare expenses, including medical, surgical, dental, and repatriation costs. Living conditions in Kyiv are favorable, with access to amenities, cultural events, and a supportive work environment.
