Job Overview:
The Project Assistant position is crucial for the administration and delivery of services within the ILO Country Office for Ukraine. This role involves supporting the implementation of a new initiative aimed at protecting and equipping Ukraine's energy workforce amidst the ongoing challenges posed by war-related damage. The Project Assistant will work closely with the Project Manager and other administrative staff to ensure that project operations run smoothly and efficiently. Responsibilities include managing project documentation, assisting with travel arrangements, compiling reports, and maintaining communication with various stakeholders. The position requires a proactive approach to problem-solving and the ability to work under pressure while maintaining a high standard of work. The Project Assistant will also play a key role in facilitating the project's objectives, which include developing occupational safety and health protocols, testing workplace adaptation measures, and conducting skills anticipation studies.

Duties and Responsibilities:
The Project Assistant will be responsible for a wide range of duties, including but not limited to: ensuring the smooth functioning of project administration and office management; processing entitlements and issuing contracts; maintaining accurate records and files; advising project staff on administrative rules and procedures; making travel and hotel reservations; preparing travel authorizations; collecting and compiling socioeconomic data; drafting summaries and reports on project activities; organizing data for monitoring and evaluation; assisting in the drafting of meeting minutes and translating documents; participating in ILO activities; liaising with other agencies; maintaining budget records; preparing background information for program discussions; organizing workshops and seminars; providing interpretation services; and supporting communication efforts related to the project.

Required Qualifications:
Candidates must have completed secondary school education, supplemented by technical or university-level courses relevant to the organization's work. Specialized training in a field pertinent to the ILO's mission and previous experience with UN organizations will be advantageous. The role requires a strong understanding of financial and administrative rules and procedures, as well as good administrative skills to provide effective programming support. Candidates should demonstrate the ability to work in a multicultural environment and possess excellent communication skills, both written and oral.

Educational Background:
The educational background required for this position includes completion of secondary school education, along with additional technical or university-level courses in fields related to the work of the ILO. Specialized training in relevant areas and prior experience with UN projects will be considered beneficial.

Experience:
Candidates should have at least six years of progressively responsible experience in finance and/or administrative work, with a minimum of one year in program support activities. Experience in similar roles within UN and ILO projects will be given special consideration, highlighting the importance of relevant experience in the recruitment process.

Languages:
Excellent knowledge of both Ukrainian and English is mandatory, with proficiency in both oral and written communication. This bilingual capability is essential for effective interaction within the multicultural environment of the ILO and for the successful execution of the project’s objectives.

The position is a fixed-term contract for one year, starting in February 2026, with the possibility of extension based on various factors such as funding availability and performance. The entry-level salary for this position is set at 23,442 USD annually.
