Job Overview: The Project Management Support - Associate (Admin) position is designed to provide comprehensive administrative support to the Project Management Support Officer and the Project Manager. The role involves coordinating various work areas, ensuring compliance with UNOPS regulations, and managing logistics and asset management services. The associate will play a crucial role in monitoring team performance, implementing control mechanisms for administrative services, and ensuring effective communication and collaboration among team members and stakeholders. Duties and Responsibilities: The duties and responsibilities of the Project Management Support - Associate (Admin) include: 1. Management Support: Coordinating individual work areas, coaching personnel, monitoring team performance, implementing administrative control mechanisms, administering inventory control, processing travel authorizations and payments, and compiling data for financial planning. 2. Team Management Support: Engaging and providing high-quality results and services for the team, ensuring compliance with policies, and promoting learning and development. 3. Logistics and Asset Management Services: Providing logistics support, coordinating shipments and customs clearance, managing office supplies, overseeing protocol matters, and compiling information for cost-recovery bills. 4. Knowledge Building and Sharing: Organizing training initiatives, contributing to knowledge networks, and collecting feedback on processes and best practices. The associate will also be responsible for administrative oversight of transportation services and external contractors.
Required Qualifications: The required qualifications for this position include a minimum of six years of relevant experience in administrative, logistics, or operations support services, preferably in national or international organizations. Knowledge of UNOPS/UN financial rules and regulations is essential, along with proficiency in computer applications and Google Workspace. Experience with Enterprise systems, including OneUNOPS, is desirable. Candidates should demonstrate strong organizational skills, attention to detail, and the ability to work collaboratively in a team environment.
Educational Background: The educational background required for this position includes completion of secondary education as a minimum requirement. A first-level university degree, such as a Bachelor's degree in Business Administration, Management, Accounting, Finance, Public Administration, Economics, or related fields, is advantageous and can substitute for some of the required years of experience. This educational foundation is crucial for understanding the complexities of project management and administrative functions within the organization.
Experience: Candidates must have a minimum of six years of relevant experience in general administrative, logistics, or operations support services. This experience should be gained in either national or international public or corporate organizations. If the candidate holds a Bachelor's degree, two years of relevant experience is required in combination with the degree. This level of experience ensures that the associate is well-equipped to handle the responsibilities of the role and contribute effectively to the team's objectives.
Languages: Fluency in oral and written English is mandatory for this position. This requirement is essential for effective communication within the team and with external stakeholders. Proficiency in additional languages may be considered an asset, but English is the primary language of operation within UNOPS and is necessary for all documentation and reporting.

The duty station is Cotabato City, which is designated as a non-family duty station.
