Job Overview: The Administrative Officer/Archivist will play a crucial role in the coordination, management, and oversight of CRS Nigeria's records management and archival functions. This position is essential for ensuring that the organization adheres to its Records Retention Policy while complying with global CRS policies, Nigerian laws, and donor requirements. The successful candidate will work closely with various departments, including MEAL, Finance, and HR, to implement best practices for document management, retention, and destruction, while also preserving historically significant records. The role requires a proactive approach to managing the lifecycle of organizational documents, from creation to destruction or permanent archiving, ensuring that all processes align with legal and regulatory standards.
Duties and Responsibilities: The key responsibilities of the Administrative Officer/Archivist include implementing and maintaining the CRS Nigeria Records Retention Policy, collaborating with department heads to identify and preserve essential documents, managing the secure destruction of outdated records, and developing a system for managing permanent archives. The role also involves providing advice on record-keeping practices, managing the digitization of physical records, developing a classification system for archival materials, ensuring the security" style="border-bottom: 1px dotted #007bff !important;">security and confidentiality of sensitive documents, conducting annual compliance reviews, training staff on document management procedures, managing relationships with external vendors, and monitoring archival systems operations to provide analytical reports on records management metrics and trends.
Required Qualifications: Candidates must possess a bachelor’s degree in library science, archival studies, or a related field. An equivalent combination of relevant experience and a Bachelor's degree may substitute for formal education. A Master’s degree is considered a plus, and certification from a recognized archival association is preferred. Additionally, candidates should have a minimum of 4 years of progressively responsible professional experience in archives or records management, with experience in a local or international NGO being advantageous. Proficiency in MS Office packages and information management systems is also required, along with knowledge of data protection and privacy regulations.
Educational Background: The position requires a bachelor’s degree in library science, archival studies, or a related field. Candidates with a Master’s degree or additional education may have an advantage. Relevant experience can substitute for formal educational qualifications, particularly in the context of records management and archival practices.
Experience: The ideal candidate should have a minimum of 4 years of progressively responsible experience in archives or records management. Experience working with local or international NGOs is a plus, as is familiarity with the implementation and management of digital archiving systems. The candidate should demonstrate a strong understanding of compliance with legal and regulatory requirements related to records management.
