Job Overview: The Human Resources Assistant position within the OECD's Executive Directorate (EXD) is designed for a motivated individual who will support the operational human resources functions for approximately 180 staff members. The role involves contributing to recruitment processes and performing a variety of administrative tasks. The selected candidate will report directly to the HR lead of the Conference, security" style="border-bottom: 1px dotted #007bff !important;">Security and Infrastructure Service (EXD/CSI) and will collaborate closely with colleagues within the service and the central human resources team of the OECD. The position is crucial for ensuring effective human resources management and the implementation of policies governing staff in accordance with OECD rules and regulations. The assistant will play a key role in enhancing staff engagement and supporting the overall well-being of the workforce.
Duties and Responsibilities: The Human Resources Assistant will be responsible for a range of duties including: providing support for recruitments within EXD/CSI by proofreading job descriptions and screening questions, assisting with candidate screening, scheduling written tests and interviews, and maintaining clear communication with candidates throughout the recruitment process. The assistant will also manage administrative actions related to staff contracts, update internal tracking tables, and support the annual performance management process. Additionally, the role includes assisting with onboarding formalities for new staff members, filing and archiving documents, and contributing to the effective management and administration of human resources policies. The assistant will also handle HR-related email communications, respond to staff inquiries, and support staff engagement initiatives such as well-being programs and onboarding sessions. Other administrative tasks may be assigned as necessary, and the assistant will provide backup support to colleagues when needed.
Required Qualifications: The ideal candidate for the Human Resources Assistant position should possess a secondary level of education, preferably in business or public administration. A university degree in human resources management or a closely related field, or equivalent experience, is considered an advantage. Proven experience in HR administration or general administration within a multicultural environment, particularly in an international organization, is essential. Familiarity with the structure, processes, regulations, and administrative systems of international organizations would be beneficial. The candidate should also have a very good command of Microsoft Office applications (Outlook, Word, Excel, PowerPoint) and experience with human resource management applications such as SmartRecruiters or other ATS software, or the ability to quickly learn such applications.
Educational Background: Candidates should have completed secondary education, with a preference for those who have pursued studies in business or public administration. A university degree in human resources management or a related field is advantageous, as is equivalent professional experience in a relevant area.
Experience: Candidates should have proven experience in human resources administration or general administration, ideally gained in a multicultural or international environment. Experience within an international organization is particularly valued, as it demonstrates familiarity with the unique challenges and processes involved in such settings.
Languages: Fluency in one of the two official languages of the OECD, which are English and French, is mandatory.
