Job Overview:
The Project Assistant position at IOM involves supporting the project aimed at assisting Beneficiaries of Temporary Protection (BOTP’s) in Ireland. The successful candidate will work under the supervision of the Chief of Mission in Dublin and the National Project Officer. The role primarily focuses on providing administrative support across program operations, particularly in facilitating movements into transitional accommodation for BOTP’s. The Project Assistant will be responsible for coordinating logistics, maintaining records, supporting case management processes, and ensuring effective communication between teams. This position requires a proactive approach to implementing the operational strategy of the project, assisting caseworkers in accordance with the project's Standard Operating Procedures (SOPs), and managing various administrative tasks to ensure smooth project implementation.

Duties and Responsibilities:
The duties and responsibilities of the Project Assistant include:
  • Supporting the implementation of the operational strategy of the project aimed at assisting BOTP’s in Ireland.
  • Assisting in the execution of project activities and supporting caseworkers in line with the project's SOPs.
  • Coordinating administrative tasks related to project implementation, including liaising with various organizational units and external parties to initiate requests, obtain necessary clearances, and process administrative actions.
  • Drafting correspondence, reports, briefing notes, graphics, statistical tables, presentations, and other documentation as required.
  • Organizing meetings, workshops, and training sessions to facilitate project activities.
  • Responding to general information requests and inquiries, and maintaining organized files and records.
  • Ensuring confidentiality of all project-related matters in accordance with guidelines and instructions.
  • Taking active steps to mitigate fraud and malfeasance, and monitoring the integrity of records containing individual data.
  • Performing any other duties as assigned by the supervisor.

Required Qualifications:
The required qualifications for the Project Assistant position include:
  • A school diploma with four years of relevant experience; or a Bachelor’s degree in Political or Social Sciences, International Relations, Development Studies, Migration Studies, Human Rights, Law, or related fields from an accredited academic institution with two years of relevant professional experience.
  • Experience in liaising with governmental authorities, national/international institutions, United Nations agencies, and non-governmental organizations.
  • Experience working with migrants, refugees, internally displaced persons, victims of trafficking, and other vulnerable groups.
  • Prior work experience with international humanitarian organizations or government institutions in a multicultural setting is an advantage.
  • In-depth knowledge of migration-related subject areas and familiarity with UN and bilateral donor programming, as well as financial rules and regulations.

Educational Background:
Candidates must possess a school diploma with four years of relevant experience or a Bachelor’s degree in a relevant field such as Political or Social Sciences, International Relations, Development Studies, Migration Studies, Human Rights, Law, or related fields from an accredited institution. Accredited universities are those listed in the UNESCO World Higher Education Database, ensuring that candidates have received a recognized and quality education that aligns with the requirements of the position.

Experience:
The position requires candidates to have a minimum of two years of relevant professional experience if they hold a Bachelor’s degree, or four years of relevant experience if they possess a school diploma. Experience should include working with governmental authorities, international institutions, and NGOs, particularly in contexts involving migrants and vulnerable populations. Familiarity with the operations of international humanitarian organizations is highly desirable, as is experience in a multicultural environment, which will enhance the candidate's ability to navigate diverse cultural contexts and work effectively with various stakeholders.

Languages:
Fluency in English, both oral and written, is mandatory for all IOM staff members. For this position, proficiency in English will be specifically evaluated during the selection process, which may include written and/or oral assessments. Additionally, a working knowledge of Arabic is considered desirable, as it may enhance communication with specific populations and contribute to the effectiveness of the project.

Additional Notes:
The position is subject to local recruitment, meaning that only candidates holding a valid residence and work permit for Ireland will be eligible for consideration. The contract duration may be shorter than initially mentioned in the advertisement to align with the expiry date of the work permit.
