Job Overview:
The Grants & Partnership Officer plays a crucial role in ensuring the effective functioning of the Grants & Partnerships department at NRC DRC. Reporting to the Grants Manager, the officer is responsible for monitoring deadlines, updating tools, managing documentation related to Project Cycle Management (PCM) and partnership cycles, and consolidating and archiving key information. The officer ensures the quality, reliability, traceability, and accessibility of information necessary for tracking grants and partnerships, working closely with various teams including Grants, Partnerships, Program, Finance, MEAL, Risk & Compliance, and Area Offices. This position is vital for supporting the development and implementation of NRC's activities in the South Kivu province, contributing to the overall mission of assisting displaced populations in the region.

Duties and Responsibilities:
The Grants & Partnership Officer's duties include:
  • Monitoring Grants & Partnerships portfolios and deadlines: Regularly updating the Grants Tracker and partnership monitoring tools, tracking key deadlines related to grants and partnerships, producing and disseminating a consolidated calendar of deadlines, and alerting the Grants Manager and relevant team members about deadlines requiring action.
  • Supporting PCM and partnership cycle management: Developing and administering the PCM Tracker, collecting and organizing documentation to demonstrate compliance with PCM requirements, and assisting the Partnership Coordinator in managing documentation throughout the partnership cycle.
  • Document management and archiving: Structuring and maintaining the Grants Live and Partnerships document spaces, ensuring systematic archiving of relevant documents, and coordinating with team members for regular archiving of their respective documents.
  • Compliance documentation, audits, and learning: Supporting audit preparations by ensuring the availability of required documentation, collaborating with relevant coordinators to identify missing documents, and capitalizing on lessons learned from audits and reviews.
  • Performance monitoring: Collecting and consolidating data for Balanced Scorecard (BSC) indicators, producing quarterly analyses on performance, and proposing improvements to tools and processes.
  • Communication and information management: Contributing to internal communication principles, facilitating structured dissemination of information, and ensuring accessibility of key reference documents and tools.

Required Qualifications:
Candidates must possess a relevant university degree in project management, social sciences, international development, administration, economics, or a similar field. Applications from individuals with a lower degree but at least four years of relevant professional experience in similar roles will also be considered. A minimum of one year of relevant professional experience, ideally in project, grant, or partnership management within the humanitarian or development sector, is required. Candidates should have a good understanding of project management cycles and partnership management principles, experience in document management, deadline tracking, and the use of monitoring tools. Excellent organizational, planning, and prioritization skills are essential, along with strong analytical abilities to consolidate and present information effectively. Proficiency in Microsoft Excel, Word, and collaborative document management tools is necessary, as well as excellent written and oral communication skills in French, with professional knowledge of English being desirable.

Educational Background:
The educational background required for this position includes a relevant university degree in fields such as project management, social sciences, international development, administration, or economics. Candidates with a lower degree but significant relevant experience may also be considered, emphasizing the importance of practical experience in lieu of formal education.

Experience:
The position requires at least one year of relevant professional experience, ideally in managing projects, grants, or partnerships within the humanitarian or development sectors. Experience in complex humanitarian environments involving multiple projects and partners is highly valued. Languages:
