Job Overview: The Senior Event Officer position is crucial for supporting the Principal in managing the Annual Meetings and Business Forum workstreams. This role involves providing assistance to the Corporate Event Management team, ensuring the successful coordination, organization, and logistical delivery of all Board and corporate events. The Senior Event Officer will work closely with both internal EBRD departments and external stakeholders, requiring strong communication and organizational skills. The position demands a proactive approach to managing event logistics, including speaker coordination, technical requirements, and on-site management, ensuring that all events meet the high standards expected by the EBRD.
Duties and Responsibilities: The Senior Event Officer will be responsible for a variety of tasks, including but not limited to: liaising with internal client departments and external stakeholders to formalize event expectations; coordinating the participation of speakers by preparing invitation letters, managing registrations, and organizing rehearsals; informing panellists about necessary preparations; tracking all technical and logistical requirements for each event; collating and inputting relevant event information on the Annual Meeting website; producing event logistics guidelines, storyboards, and detailed summary sheets for all assigned events; managing on-site operations for assigned events and coordinating technical/support staff; providing final event statistics, including access criteria and participation levels; electronically filing official documents related to assigned events; drafting thank you letters to speakers; and preparing post-event reports for respective areas.
Required Qualifications: Candidates must possess over three years of event management experience, preferably with a focus on international events. They should have experience in coordinating multi-event programs in physical, virtual, and hybrid settings. A strong understanding of logistical and technical requirements for various event formats is essential. Excellent communication and interpersonal skills are required, along with advanced computer proficiency, particularly in PowerPoint and Excel. Familiarity with virtual event and streaming platforms is also necessary. Knowledge of the EBRD structure and the Annual Meeting format is considered an advantage. Candidates should demonstrate a proactive and adaptable attitude, with the ability to perform well under pressure in fast-paced environments, and possess a keen eye for detail.
Educational Background: A relevant educational background is essential for this position, with a preference for candidates holding a degree in event management, hospitality, communications, or a related field. Additional certifications in event planning or management may also be beneficial and enhance a candidate's profile.
Experience: The position requires a minimum of three years of experience in event management, with a strong preference for candidates who have experience managing international events. Familiarity with both on-site and remote coordination of events in various formats (physical, virtual, and hybrid) is crucial for success in this role.
Languages: Fluency in spoken and written English is mandatory for this position. Knowledge of additional languages such as French, German, Russian, or Arabic is considered an advantage and may enhance a candidate's suitability for the role.
