Job Overview:
The Support Services Associate position is a versatile operational role based in Bangkok, Thailand, where the individual will serve as the primary support services focal point for personnel. The role encompasses a wide range of responsibilities including human resources, ICT, and administrative support for the Multi-Country Office (MMCO) personnel. The Associate will work under the guidance of the Head of Support Services, ensuring efficient, client-oriented service delivery. The position requires a proactive approach to managing HR processes, administrative services, and finance procedures, while promoting a culture of knowledge sharing and continuous improvement. The Associate will be instrumental in enhancing the overall efficiency and effectiveness of the administrative services provided to the MMCO operations.

Duties and Responsibilities:
The Support Services Associate will have a comprehensive set of duties and responsibilities, including but not limited to:
  • Providing end-to-end HR support, including contract management, personnel onboarding, learning and development, talent management, performance management, and compensation and benefits.
  • Managing talent acquisition processes in compliance with UNOPS policies.
  • Coordinating learning and development activities, including training logistics and tracking completion rates.
  • Maintaining HR systems and ensuring accurate personnel documentation.
  • Processing contracts, payroll, and benefits workflows in a timely manner.
  • Supporting general administrative services, including processing residency and work permits, advising on visa requirements, and coordinating general admin and ICT services.
  • Providing user support for ICT services, including troubleshooting hardware and software issues.
  • Assisting in financial procedures, including cash management, expenditure tracking, and processing travel expense claims.
  • Facilitating training and knowledge sharing initiatives for personnel on HR-related topics. 1
  • Maintaining common services tracking and reporting for MMCO operations, and providing logistical support for visiting missions.

Required Qualifications:
The position requires a minimum of six years of relevant experience in HR, administrative, logistics, or operations support services within national or international organizations. Proficiency in computer applications and office software packages (MS Office and/or Google Suite) is essential, along with experience in handling web-based management systems. Desired qualifications include experience in the UN system or international organizations and familiarity with Enterprise Systems such as OneUNOPS.

Educational Background:
Completion of secondary school is required, with a first university degree in Business Administration, Public Administration, or equivalent disciplines being desirable but not mandatory. A Bachelor’s Degree may substitute for four years of relevant experience, while a Master’s Degree may substitute for six years of relevant experience. In the absence of a degree, administrative certification is considered desirable.

Experience:
Candidates must have a minimum of six years of relevant experience in general HR, administrative, logistics, or operations support services. Experience in the UN system or international organizations is preferred, along with proficiency in computer applications and office software packages.

Languages:
Fluency in English and Thai is required for this position. Proficiency in additional languages may be considered an asset but is not mandatory.

The contract type for this position is ICA - LICA - Support - Regular, with an open-ended duration and the possibility of extension based on performance and budget availability. The position is classified at the Associate seniority level (ICS 06).
