Job Overview:
The Pension Administration Assistant will play a crucial role in supporting the IOM Pension Administration under the supervision of the Head of IOM Pension Administration and the National Pension Administration Officer. The successful candidate will be responsible for collaborating closely with IOM-UNJSPF participants and HR personnel to ensure accurate and timely management of pension records. This position requires a strong attention to detail and the ability to handle sensitive information with confidentiality. The assistant will be expected to coordinate data verification processes, maintain participant records, and ensure compliance with UNJSPF regulations. The role also involves running data extractions, preparing reports, and communicating with participants to facilitate the completion of necessary documentation. The successful candidate will need to demonstrate strong analytical skills and a commitment to delivering high-quality results in a timely manner.

Duties and Responsibilities:
The duties and responsibilities of the Pension Administration Assistant include:
  • Collaborating with IOM-UNJSPF participants and HR personnel to obtain and verify participant records against HR and UNJSPF data.
  • Coordinating with HR personnel to maintain UNJSPF numbers in the PRISM system and requesting copies of participant contracts for eligibility verification.
  • Running data extraction and generating reports related to UNJSPF items from the PRISM (SAP) database.
  • Communicating with participants to assist them in completing the Participant Personal Data and other required forms.
  • Receiving and verifying data submitted by participants, abstracting necessary information, and preparing reports for UNJSPF registration and updates.
  • Requesting assistance from HR personnel to maintain and reconcile participant information in PRISM with supporting documents.
  • Following up on incomplete or missing participant data with missions or directly from participants.
  • Preparing and dispatching documents and reports for submission to UNJSPF.
  • Maintaining an organized electronic and physical filing system for participant records. 1
  • Creating inventory lists and following up on pending cases and documents for UNJSPF submission. 1
  • Tracking changes in participants' personal records, marital status, and dependents in PRISM and preparing data for IPAS requirements. 1
  • Coordinating with separated UNJSPF participants to obtain necessary separation documents. 1
  • Monitoring pending cases for UNJSPF benefits and payments. 1
  • Drafting routine correspondence and reports as directed by the supervisor. 1
  • Exercising strict confidentiality regarding the disclosure of information to third parties. 1
  • Performing other related duties as required.

Required Qualifications:
The required qualifications for the Pension Administration Assistant position include:
  • A university degree in Administration, Human Resources, or a related field from an accredited institution, along with three (3) years of relevant professional experience.
  • Alternatively, completed high school/secondary education with five (5) years of relevant experience.
  • Experience in HR/administrative or finance roles, particularly in social security" style="border-bottom: 1px dotted #007bff !important;">security schemes related to pensions, benefits, and entitlements within a government or international organization, preferably in a UN environment.
  • Proficiency in data verification and rules interpretation, with strong analytical and problem-solving skills.
  • Familiarity with SAP/Oracle systems is an advantage, as is knowledge of the UN Joint Staff Pension Fund (UNJSPF) or similar pension systems.

Educational Background:
Candidates must possess a university degree in Administration, Human Resources, or a related field from an accredited academic institution. Accredited universities are those listed in the UNESCO World Higher Education Database. Alternatively, candidates with completed high school education and significant relevant experience may also be considered.

Experience:
The position requires relevant experience in HR, administrative, or finance roles, particularly in the context of social security schemes related to pensions and benefits. Candidates should have at least three years of professional experience if they hold a university degree, or five years if they have completed high school. Experience in a UN environment and familiarity with the UN Joint Staff Pension Fund (UNJSPF) is highly desirable. Additionally, candidates should have experience in data verification and possess strong analytical skills.

Languages:
The position requires proficiency in English, as it is the working language of the IOM. Knowledge of additional languages is considered an asset and may enhance a candidate's application, particularly if they are relevant to the IOM's operational context.

Additional Notes:
The position is subject to funding confirmation, and any offer made to the candidate will depend on this. The selection process may be used to fill similar positions in various duty stations, and recommended candidates will remain eligible for appointment in similar roles for a period of 24 months. Appointment is contingent upon certification of medical fitness, accreditation, residency or visa requirements, and security clearances.
