Job Overview: The Operations Assistant position is crucial for supporting the operational processes and procedures of the Tanzania Country Office (CO) to facilitate effective program delivery. The incumbent will be responsible for ensuring compliance with relevant rules and guidelines while providing critical assistance in various areas such as asset management, basic ICT services, and administrative support. The role requires a high level of attention to detail, adherence to deadlines, and the ability to manage multiple tasks efficiently. The Operations Assistant will report directly to the International Operations Manager and will play a key role in maintaining seamless business processes within the CO.
Duties and Responsibilities: The Operations Assistant will undertake a variety of duties, including but not limited to: 1) Providing effective administrative and secretarial support by managing incoming correspondence, drafting responses, and maintaining an organized filing system. 2) Handling travel and logistics support, including arranging travel, processing payments, and managing schedules for missions and meetings. 3) Supporting business operations by ensuring compliance with financial policies, maintaining financial records, and assisting during audits. 4) Providing ICT support by managing network administration, ensuring security" style="border-bottom: 1px dotted #007bff !important;">security protocols are followed, and troubleshooting user issues. 5) Acting as the focal point for asset management and participating in inter-agency meetings related to administrative and ICT matters. 6) Performing any other duties as assigned by the management of the Country Office.
Required Qualifications: Candidates must possess completed Secondary Level Education as a minimum requirement. A first-level university degree in Business Administration, Information Technology, Computer Science, or related fields is desirable. Additionally, candidates should have a strong understanding of administrative processes, financial management, and ICT support. Good writing, communication, and interpersonal skills are essential, along with the ability to organize tasks and meet deadlines. Proficiency in common office software and equipment is also required, along with the ability to handle confidential matters with discretion.
Educational Background: The educational background required for this position includes completed Secondary Level Education as a baseline. A first-level university degree in relevant fields such as Business Administration, Information Technology, or Computer Science is preferred, indicating a higher level of understanding and capability in managing the responsibilities associated with the role.
Experience: Candidates should have a minimum of five years of experience in administration, finance program support, ICT, or general office management. Experience with multilateral or international organizations is highly desirable, as is familiarity with ERP systems and software such as Quantum and PowerBI. The ability to manage multiple tasks under pressure while maintaining attention to detail is crucial for success in this role.
Languages: Excellent oral and written communication skills in English are mandatory for this position. Knowledge of Swahili and/or other official UN languages is considered an asset, enhancing the candidate's ability to communicate effectively in a diverse work environment.
